Job Description Summary
Responsible for reviewing leased and owned property documents, as well as compiling and maintaining critical location data, including financial and contractual obligations, as part of the lease administration process. The Specialist provides guidance and training to newly hired Portfolio Administration Coordinators and Sr. Portfolio Administration Coordinators. This position may be assigned to one or more accounts/clients. Spanish written and verbal skills are required.
Job Description
- REQUIRED: SPANISH WRITTEN AND VERBAL SKILLS
- Review, abstract, and perform quality control data audits of documents, including updating and maintaining all lease information and data in our technology information systems.
- Ensure proper document management measures are followed for all leased, owned, and associated documents. Maintain file retrieval/storage, scan documents, and manage mail.
- Review client invoices in conjunction with lease requirements, collect supporting documentation from landlords/billing authorities, and verify accuracy.
- Conduct desktop audits of Year-End CAM, Insurance, and Real Estate Tax reconciliations, interpret, and analyze charges for accuracy, and resolve disputes with landlords for discrepancies.
- Ensure the accuracy of our Clients' financial obligations and that monthly rents are processed timely.
- Oversee and manage the subtenant process, including recording and collecting rent and passing through invoices and year-end reconciliations.
- Communicate regularly with internal and external partners, notify clients of critical dates, policies, and procedures, and assist with inquiries.
- Request and process certificates of insurance as required by lease agreements.
- Review Estoppels and SNDAs against lease terms.
- Respond to property inquiries from clients and landlords using good judgment and logic.
- Maintain productive landlord and subtenant relationships in accordance with lease agreements.
- Establish priorities and create schedules for portfolio objectives.
- Manage multiple projects and priorities in a fast-paced environment.
- Stay updated on industry standards and trends.
Education
- Bachelor’s Degree preferred in business, finance/real estate, accounting, or related fields.
Additional Eligibility Qualifications
- Spanish written and verbal skills are required
- Ability to understand, interpret, and abstract complex real estate lease terminology.
- Data management and bill payment experience preferred.
- Working knowledge of financial terms.
- Proficiency with MS Office Suite (Word, Excel, PowerPoint).
