Job summary

Center for American Progress is seeking a Special Events Associate to plan and execute events, coordinate between departments internally and externally, maintain event calendars, and perform other duties related to organizing and hosting small- and large-scale events.

Reporting to the Senior Vice President, Events and Outreach, this role requires 2–3 years of event planning experience, superb communications skills, and the ability to manage multiple deadlines.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • 2–3 years of event planning experience preferred.
  • Superb oral and written communications skills.
  • Ability to work under pressure and tight deadlines and beyond normal business hours.
  • Attention to detail with excellent organizational and time-management skills.
  • Ability to handle media interaction and travel for the position when necessary.
  • Capability of handling audio, video, lighting, and livestreaming technologies preferred.
  • Familiarity with Adobe Dreamweaver, Photoshop, HTML, MS Word/Excel, and CMS.

Responsibilities

  • Assist with the planning and execution of small- and medium-scale events and assist with larger events for a portfolio of policy teams of varying size.
  • Serve as primary liaison between the Events team and college and university policy departments and student group liaisons.
  • Coordinate interdepartmentally with staff, vendors, and the public.
  • Coordinate catering, equipment, technical, security, and logistical needs for events.
  • Write and prepare web-based event invitations and other work-related correspondence.
  • Maintain events calendar and analyze invoices and budgets.
  • Serve as the primary HR contact for trainings, leading new-hire orientations and intern trainings on events procedures.
  • Perform other duties as assigned.
