Job summary

County of Kauaʻi is seeking an Police Evidence Clerk to support the Kauaʻi Police Department. The role involves recording and reviewing property and evidence, maintaining RMS data, and assisting in court processes.

The position requires clerical experience, basic office skills, and a valid driver’s license. Work is conducted at the Police Department Headquarters with civil service status.

Qualifications

  • A combination of education and experience substantially equivalent to graduation from high school.

Responsibilities

  • Enters evidence and property data into the RMS to maintain and update inventory reports and logs.
  • Scans and indexes police documents relative to evidence into the RMS and links to incident reports.
  • Performs quality assurance checks on documents and data to maintain RMS integrity.
  • Prepares notification letters to property owners and maintains logs of disposition.
  • Retrieves and prepares copies of evidence records and drug analysis results for the Prosecuting Attorney.
  • Compiles data and prepares documents to be transported to outside agencies for testing.
  • Assists in locating evidence for court presentations.
  • Assists in disposal of evidence as authorized.
  • Transports evidence and found property as needed using a police vehicle.
  • Answers telephone and assists with firearm permits and registrations.

Job Summary: Performs a variety of moderately difficult clerical and public contact duties involving the maintenance and review of records and documents related to property and evidence processed through the Kauai Police Department; and performs other related duties as required.

  • Enters evidence and property data into the Records Management System (RMS) to maintain and update evidence and property computerized and manual inventory reports and logs on evidence received, released, and disposed of;
  • Scans and indexes police documents relative to evidence and property into the RMS and link to appropriate incident report;
  • Performs quality assurance checks on the documents and data in accordance with departmental standards, policies, and procedures to maintain the integrity of the RMS;
  • Prepares and processes notification letters to property owners;
  • Maintains document log and disposition of property and evidence processed for release;
  • Retrieves, verifies, and prepares copies of evidence records and drug analysis results to the Office of the Prosecuting Attorney as requested;
  • Compiles data and prepares required documents and evidence to be transported to an outside agency for testing in accordance with departmental policies and procedures;
  • Assists in locating evidence for presentation in court;
  • Assists in the disposal of evidence as authorized;
  • Transports evidence and found property to/from substation, headquarters, etc. using a police vehicle;
  • Answers telephone and assists in issuing of firearm permits and registration of firearms;
  • Provides information regarding departmental policies and procedures; and
  • Performs other related duties as assigned.

Minimum Qualifications:

Training and Experience:

A combination of education and experience substantially equivalent to graduation from high school; and

  • one (1) year of general work experience, and
  • one (1) year of clerical experience.

Qualifying General Work Experience:

Any work experience which may involve the basic skills: reading, writing, computation and communication.

Qualifying Clerical Experience:

Work experience which involved the performance of a variety of clerical tasks and demonstrated knowledge of office practices and procedures, and the ability to carry out procedures in clerical work systems, and operate various kinds of office equipment including computers, Microsoft Office, and other technologies.

License Requirement:

Possession of a valid motor vehicle operator’s license (Hawaii type 3 or equivalent).

Firearms Requirements:

As applicable to the position, must be qualified to carry and/or possess firearms or ammunition in accordance with State and Federal law, e.g., no misdemeanor or felony domestic violence conviction.
