Job summary

Centivo is seeking a Plan Documents Manager to lead document preparation for SBCs, SPDs, SMMs and related plans. You will coordinate with Configuration and Client Success, ensuring accurate plan documentation and regulatory compliance.

You will train new hires, improve workflows, and support client implementations while staying current on ERISA, HIPAA and ACA requirements. Buffalo-based or remote option available.

Qualifications

• 5+ years’ employee benefits paralegal or similar job experience required.
• 5+ years’ experience in Health and Welfare benefit consulting in ERISA & Non-ERISA plans
• 5+ years’ experience in client management in self-funding document creation and management
• Associate degree required; Bachelor’s degree preferred or equivalent job experience

Responsibilities

• Manage Plan Documents team workload and assign drafting tasks for SBCs, SPDs, SOBs.
• Identify workflow process improvements and implement changes with policy development.
• Train new hires on PDM functionality, checklists, and document management.
• Attend cross-functional meetings to represent Plan Documents.
• Assist in client onboarding and plan changes, defining benefits for document preparation.
• Manage benefit plan documentation processes end-to-end.
• Review prospective conversion documents (SPD, SMM, SBC) section-by-section.
• Verify eligibility and plan requirements to include in documents.
• Draft, finalize, and maintain SBCs, SPDs, SMMs.
• Identify missing items for document preparation and obtain changes from clients.
• Submit finalized documents to stop loss carriers and update plan changes.
• Support client communications, including introductory calls.
• Provide reference materials on regulatory changes to team.
• Stay current on ERISA, PPACA, and related laws affecting plan benefits.
• Escalate client issues to leadership as needed.
• Perform other tasks as assigned.
