Job summary

University of Portland is seeking Pilots After Dark Coordinators to create, plan, and host late-night entertainment on Fridays and Saturdays from 9pm to 11pm in the Pilot House. You will work as a team with student organizations, clubs, and external vendors to engage the UP community.

Responsibilities include weekly planning meetings, coordinating with campus partners, managing performers and logistics, assisting promotion, and hands-on event execution on 8pm-11:30pm nights.

Qualifications

  • Effective, timely, and professional communication with students, faculty/staff, and vendors.
  • Attention to detail and ability to work within assigned budgets.
  • Familiarity with Canva or basic graphic design is a plus.
  • Public speaking or interest in developing it for events.
  • Prior experience in event planning or strong interest in it.

Job description

Pilots After Dark Coordinators are responsible for creating, planning, and hosting various late night entertainment events on Friday and Saturday nights from 9pm-11pm in the Pilot House. Coordinators will work as a team to collaborate with each other, with student organizations and clubs, and with external vendors to provide engaging late night programming for the UP community.

Core Duties
  • Meet with Pilots After Dark team on a weekly basis to plan upcoming events
  • Assist in collaborative brainstorming sessions with other coordinators
  • Coordinate with a variety of campus partners in planning and hosting events (including but not limited to: academic clubs, multicultural clubs, special interest clubs, residence halls, etc.)
  • Coordinate with performers, vendors, and agents to provide live entertainment on campus
  • Perform job duties during Pilots After Dark events on a regular basis (willing and able to work 8pm-11:30pm on Friday and Saturday; on average, at least one night per weekend)
  • Assist in promotion and marketing for Pilots After Dark events through print and digital avenues
  • Various activity planning tasks including creating trivia questions, name that tune songs, prize shopping, event creation and hosting, etc.
  • Other relevant duties as assigned
Minimum Qualifications
  • Effective, timely, and professional communication to students, faculty/staff, and external vendors
  • Attention to detail and basic knowledge of working within assigned budgets
Preferred Qualifications
  • Basic knowledge of graphic design software, such as Canva
  • Public speaking skills or an interest in developing public speaking skills
  • Ability to effectively troubleshoot challenges in preparation for and throughout events
  • Prior experience with event planning or an interest in event planning

Physical Requirements
  • Ability to lift 25-50 pounds and push heavy equipment on a wheeled cart or in a wagon
