Job summary

Addison Group in Lake Zurich, IL seeks an Executive & Personal Assistant to support a high-performing executive. This role balances executive support, office coordination, and occasional personal tasks in a fast-paced environment.

You will manage calendars, coordinate travel, prepare reports, and handle confidential information with discretion. Strong MS Office skills and excellent communication are required; Mandarin is a plus.

Qualifications

  • 2+ years of executive, administrative, or personal assistant experience.
  • Bachelor's degree preferred.
  • Strong MS Office skills including Outlook, Excel, Word, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Able to manage confidential information with discretion.
  • Bilingual Mandarin is a significant plus but not required.

Responsibilities

  • Coordinate and manage a constantly evolving executive calendar, meetings, and appointments.
  • Prepare daily priority lists and outstanding action items to keep projects and deadlines on track.
  • Act as the primary point of contact for executive communications, helping prioritize requests and follow-ups.
  • Schedule meetings with internal teams, vendors, customers, and business partners.
  • Assist with travel planning and itinerary coordination as responsibilities transition over time.
  • Conduct research, gather information, and support a variety of business initiatives and special projects.
  • Coordinate personal administrative tasks, including appointments, reservations, logistics, and general research.
  • Support family-related scheduling and coordination when needed.
  • Prepare presentations, reports, spreadsheets, and other business documents.
  • Process invoices, expense reports, and basic billing documentation.
  • Track project deadlines and ensure important deliverables remain on schedule.
  • Help facilitate communication between leadership and internal departments.
  • Order office supplies and assist with general office administration.
  • Handle confidential information with professionalism and discretion.
  • Jump in to support a variety of changing priorities and administrative projects.

  • Able to manage confidential information with discretion.
  • Self-motivated, adaptable, and comfortable working with minimal direction.
  • Bilingual Mandarin is a significant plus but not required.
