Job summary

Ortus Engineering, P.A. in Miami is seeking a Permit Coordinator to manage all permitting activities for construction projects. You will research, prepare, and submit permit applications across building, zoning, and related agencies, tracking status and deadlines.

As a primary liaison with AHJs and municipal staff, you will coordinate reviews, schedule inspections, and maintain thorough permit files. The role requires up-to-date knowledge of codes and proactive risk mitigation to keep projects

Responsibilities

• Research and determine all permits, licenses, and approvals required for each project based on jurisdiction and scope of work.
• Prepare, assemble, and submit permit applications to all applicable governmental agencies (building, zoning, fire, health, utilities, DOT, environmental, etc.).
• Track and manage the Permit Log, keeping status, submission dates, and expected approval dates current for every permit.
• Maintain permit documentation and correspondence in project management software.
• Interface directly with plan reviewers, inspectors, and municipal/county/state officials to move applications through review.
• Attend pre-application and pre-construction meetings with authorities having jurisdiction (AHJ) as needed.
• Monitor plan review comments and coordinate corrections/resubmittals with the design team and Project Manager.
• Schedule and coordinate required inspections with local building departments and other agencies.
• Communicate permit status updates regularly to the Director of Operations and Project Manager.
• Anticipate permitting delays and proactively flag risks to the project schedule.
• Maintain up-to-date knowledge of local, state, and federal codes, ordinances, and regulatory requirements affecting permitting.
• Build and maintain relationships with municipal staff to expedite processing where possible.
• Track expiration dates on permits and licenses and initiate renewals before lapse.
• Ensure all permit fees are calculated, submitted, and tracked for payment.
• Assist in obtaining Certificates of Occupancy and other close-out approvals at project completion.
• Compile and organize final permit files, approvals, and certificates for the project close-out package.
• Represent the company professionally with building officials, inspectors, and other government representatives.
