Job summary

Panda Drum is the world's biggest steel tongue drum brand. Bootstrapped, profitable, ~$50M this year, growing 3x year over year. That growth runs on one engine: hiring great people faster than our competitors can, across Europe, LatAm, and Asia, fully remote, ~40 people and climbing. Hiring now has an owner: our Talent Manager runs every pipeline. What's still scattered is everything after the yes. Offer letters live in email threads, contracts get chased by hand, and onboarding depends on who remembers what. You fix that, and you help run the pipelines that feed it.

• People Ops, about half your week Onboarding, from signed offer to integrated teammate: accesses live before day 1е, onboarding questionnaire sent, 1:1 page set up, first-week plan in place, check-ins at day 7 and day 30.
• Offers and contracts: you prepare offer letters, coordinate B2B contractor agreements, and file every signed copy in the agreements register. Nothing lives in an email thread.
• HR admin: new-hire records, documents, and the admin every hire brings, done the same way every time.
• Documentation: you build the onboarding documentation and guidelines, plus SOPs and checklists, so each onboarding takes less back-and-forth than the one before.
• AI workflows: you build AI workflows that take the repeat work out of People Ops: drafting offer letters, preparing onboarding checklists, answering new-hire questions.
• Recruitment, about half your week Sourcing: LinkedIn Recruiter for execution roles: support agents, coordinators, video editors.
• First-round screens: run with scorecards, after a knockout check on the application.
• Pipeline hygiene: scheduling, candidate notes, and a reply to every candidate within 2 business days, all in Recruitee (ATS).
• Test tasks and reference checks: sending test tasks to candidates, tracking deadlines, and processing test task payments.
• Automation: taking the repeat work out with Recruitee triggers and templates, AI-assisted first passes, Notion workflows.
• Your scoreboard: days from offer to signed contract, new hires with every access live on day one, candidate response within 2 business days, candidate notes complete.

• 1+ year of hands‑on recruitment: including sourcing on LinkedIn and running screening calls yourself, not only scheduling them.
• Organized by default: you've handled onboarding, offers, or contracts before, or you can show how you keep a messy process clean.
• ATS fluency and AI tools in your daily work: with specifics, not buzzwords.
• Excellent written English: every note, offer and message you send is read by someone deciding something.
• Communication hygiene, every time: you reply quickly, keep messages clear and short, and flag blockers the same day instead of waiting to be asked.
• Recruitee and Notion experience Hiring remote and international, ideally across LatAm, Europe and Asia An automation you built yourself (ATS triggers, AI workflows) In‑house experience at a fast‑growing company The stack you'll use daily: LinkedIn Recruiter, Recruitee (our ATS), Notion, Claude, ChatGPT, Loom, and Fireflies.
