Description

Overview: The People Engagement & Payroll Coordinator supports the daily operations of the People & Culture Department at Ansley Golf Club. This position is primarily responsible for the accurate and timely processing of weekly payroll and serves as a key point of coordination for recruiting, applicant screening, interview scheduling, onboarding administration, employee records, and general departmental support.

The People Engagement & Payroll Coordinator works closely with department leaders and employees to resolve payroll and timekeeping questions, coordinate hiring activities, maintain accurate and confidential records, and provide administrative support to the Director of People & Culture and the People Engagement Manager. This position requires exceptional attention to detail, discretion, organization, and a warm, service-focused approach.

Duties / Responsibilities:
Payroll Administration:
  • Own the preparation and processing of the Club's weekly payroll.
  • Review employee timecards for accuracy, completeness, and proper manager approval.
  • Work with department managers to identify and resolve missed punches, scheduling discrepancies, overtime questions, and other timekeeping issues before payroll is finalized.
  • Review weekly tip-share reports and other supplemental pay information for accuracy.
  • Process payroll changes, including new hires, terminations, pay-rate changes, transfers, deductions, garnishments, bonuses, and other approved adjustments.
  • Verify that payroll transactions are processed accurately and on time.
  • Maintain organized and accurate payroll records, reports, and supporting documentation.
  • Respond to employee and manager questions regarding paychecks, timecards, deductions, and payroll procedures.
  • Assist with payroll reconciliations, audits, year-end activities, and requests for payroll documentation.
  • Maintain confidentiality of all employee compensation, payroll, and personal information.
  • Support compliance with applicable federal, state, and local wage and hour requirements.
  • Identify payroll discrepancies and promptly communicate unresolved concerns to the Director of People & Culture.
  • Assist with reviewing and improving payroll and timekeeping procedures.
Recruiting & Applicant Coordination:
  • Post approved job openings on the Club's applicant tracking system and designated recruiting platforms.
  • Review applications and resumes to identify candidates who meet the established qualifications for open positions.
  • Conduct initial telephone screenings and gather relevant candidate information.
  • Coordinate and schedule interviews between candidates and hiring managers.
  • Communicate interview details, directions, and expectations to candidates in a timely and professional manner.
  • Maintain accurate candidate records and update applicant statuses throughout the recruiting process.
  • Provide timely follow-up communication to candidates and hiring managers.
  • Assist department leaders with maintaining current job descriptions and hiring criteria.
  • Initiate and monitor pre-employment requirements, including background checks, reference checks, and drug screenings, when applicable.
  • Support job fairs, recruiting events, community partnerships, and other talent-sourcing activities.
  • Promote a positive and welcoming candidate experience that reflects the Club's service standards and core values.
Onboarding & Employee Administration:
  • Prepare new-hire paperwork and coordinate required onboarding documentation.
  • Verify that new-hire information is complete and accurately entered into the appropriate HR and payroll systems.
  • Assist with new-employee orientation and the communication of Club policies, procedures, benefits, and workplace expectations.
  • Coordinate onboarding activities with hiring managers to support a smooth transition for new employees.
  • Maintain confidential employee personnel files and electronic records.
  • Process employee status changes, transfers, promotions, terminations, and other personnel updates.
  • Track completion of required employment forms, acknowledgments, certifications, licenses, and training records.
  • Assist with employee offboarding and ensure required documentation is completed and retained.
  • Support employment verification requests and other routine employee documentation needs.
  • Maintain accurate employee contact, emergency, and demographic information within the HRIS.
Benefits & Leave Support:
  • Provide general administrative support for employee benefit enrollments and status changes.
  • Assist employees with routine benefit questions and direct complex matters to the appropriate People & Culture team member.
  • Ensure benefit deductions and approved changes are accurately reflected in the payroll system.
  • Distribute benefit materials, required notices, and enrollment information.
  • Assist with maintaining benefit records and supporting documentation.
  • Provide administrative support for leave-of-absence requests, disability paperwork, and related employee communications.
  • Maintain confidentiality of employee medical and benefit information.
Employee Engagement & Communication:
  • Assist with employee recognition programs, celebrations, appreciation activities, and Club-wide engagement events.
  • Support the coordination of employee communications, announcements, newsletters, surveys, and departmental notices.
  • Help maintain employee bulletin boards, digital communications, and other People & Culture resources.
  • Encourage employee participation in recognition, training, wellness, and engagement initiatives.
  • Serve as a welcoming and approachable point of contact for employees visiting the People & Culture office.
  • Direct employee questions and concerns to the appropriate team member while maintaining professionalism and confidentiality.
  • Support initiatives that promote Ansley Golf Club's core values of being Collaborative, Gracious, Trustworthy, and Passionate.
Administrative Support:
  • Provide administrative support to the Director of People & Culture and the People Engagement Manager.
  • Manage calendars, schedule meetings, and assist with departmental deadlines and follow-up activities.
  • Prepare correspondence, reports, spreadsheets, presentations, forms, and other departmental materials.
  • Assist with organizing employee meetings, orientations, training sessions, interviews, and People & Culture events.
  • Maintain departmental files, supplies, forms, and shared resources.
  • Track invoices, departmental expenses, and vendor documentation as assigned.
  • Compile weekly, monthly, and ad hoc employee, recruiting, and payroll reports.
  • Take meeting notes and assist with documenting action items when requested.
  • Maintain a professional, organized, and welcoming People & Culture office.
  • Perform other duties and special projects as assigned.
Requirements

Required:
  • High school diploma or equivalent.
  • Minimum of two years of experience in payroll administration, human resources, recruiting coordination, or a related administrative role.
  • Previous experience processing payroll or reviewing timekeeping records.
  • Experience working with confidential employee or financial information.
Preferred:
  • Associate's or bachelor's degree in Human Resources, Business Administration, Accounting, or a related field.
  • Experience supporting payroll and human resources functions in a hospitality, private club, hotel, restaurant, or service-focused environment.
  • Experience coordinating recruiting, applicant screening, interviews, and onboarding.
  • SHRM-CP, PayrollOrg Fundamental Payroll Certification, or other relevant professional certification.
  • Bilingual English and Spanish communication skills.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Frequent use of telephones, computers, and standard office equipment.
  • Occasional standing, walking, bending, and reaching.
  • Must be able to lift up to 15 pounds at times.
  • Ability to move throughout Club facilities to support employee activities, orientations, meetings, and events.
Position Classification & Expected Hours of Work:

This is a full-time position. Regular attendance and punctuality are essential because of established payroll deadlines and employee support responsibilities. Occasional early morning, evening, weekend, or holiday work may be required to support orientations, recruiting activities, employee events, or other Club operational needs.

Language:

Required to speak, read, and write English and perform basic mathematics. Bilingual English and Spanish preferred.
