Training
- Master the use of agency Learning Management System (LMS) to assign and track training registration and completion. Use Formstack to track external training registrations.
- Provide excellent customer service to agency staff and vendors.
- Develop and maintain systems to execute and track training plans and compliance for various agency entities, collaborating with People & Culture if plans involve individual staff members.
- Create ways to streamline processes within the Training Department.
- Maintain, schedule, and update all project calendars; manage meeting activities including room reservations, audiovisual equipment setup, meeting materials, and refreshments, supporting individual staff needs as required.
- Compose general correspondence such as emails, cover letters, and evaluation summaries.
- Coordinate and maintain program service schedules, files, and records, including documentation related to awarding continuing education credits.
- Create and distribute certificates for Continuing Education Units (CEU) training.
- Prepare spreadsheets, forms, reports, documents, and statistics as needed.
- Work with the Training Coordinator to plan tasks to meet deadlines.
- Create basic JCFS-specific training modules using Articulate software.
Onboarding/Talent Acquisition
- Assist in posting jobs in applicant tracking systems and third-party job boards, ensuring accuracy based on agency needs.
- Manage onboarding processes, including preparing offer letters, communicating pre-employment requirements, and completing background checks.
- Coordinate communication with all parties involved in recruitment and onboarding, responding promptly and proactively to candidates.
- Conduct reference checks as needed.
- Ensure all pre-placement requirements are completed in compliance with legal and policy standards.
- Perform other duties as assigned.

Minimum Qualifications:
- Some college coursework completed; minimum two years' experience in human resources or administrative support.
- At least one year experience with database or LMS systems.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Ensure compliance with applicable laws and regulations.
Preferred Qualifications:
- Experience with UKG or other HRIS systems.
- Knowledge of health and retirement benefits.
- Support experience at the director level or above.
- Three years' HR experience supporting recruitment or HR operations.
- Knowledge of HR laws and best practices.
- PHR or SHRM certification preferred.
- Reliable transportation for site visits in the Chicago area.
- Experience in health services or non-profit sectors.
