Job summary

CATHEXIS is seeking a Business Operations Specialist to support the Office of the Deputy Assistant Secretary of War for Strategic Readiness. Onsite at the Pentagon in Arlington, VA, you will manage workflow, scheduling, records, and reporting for SSC Task Force initiatives, coordinating with leadership and stakeholders.

The role requires a Bachelor's degree and 2+ years in government or military operations, with strong MS Office/SharePoint skills and excellent communication.

Qualifications

• Active Secret DoW Clearance
• Bachelor's Degree in Business Administreation, Operations Management, Public Policy/Administration, or a related field (or equivalent professional experience)
• Minimum of 2 years of professional experience in business operations, program operations, or administrative/executive support, to include experience supporting government or military leadership offices
• Demonstrated ability to independently manage operational functions on high-visibility, mission-critical program efforts
• Proven ability to support and coordinate operations for a team of staff, including tracking multiple concurrent priorities and deadlines
• Strong organizational, analytical, written, and verbal communication skills, with meticulous attention to detail
• Proficiency with MS Office (Word, Excel, PowerPoint, Outlook), SharePoint, and standard operations/collaboration tools
• Ability to handle sensitive and controlled information with discretion
• Must be a United States citizen to obtain and maintain a DoW security clearance

Responsibilities

• Serve as the primary business operations and administrative specialist on the team, overseeing daily operational workflow, resourcing, and schedule management across concurrent SSC Task Force priorities
• Coordinate and manage scheduling, logistics, and read-ahead materials for team meetings, senior leadership briefings, and engagements, including WECC/MECC
• Track taskers, suspenses, deliverables, and action items across the team; maintain operational status trackers and flag at-risk timelines or resource gaps to leadership
• Oversee document quality control and formatting standards for briefing materials, decision papers, reports, and presentations for DASW(SR) and OUSW(P&R) leadership
• Manage inputs for recurring reporting cycles — NDAA 557, GAO report responses, and other Congressional reporting — coordinating data calls and timelines
• Own records, document control, and knowledge management for SSC Task Force products, including SharePoint site administration
• Coordinate travel arrangements, calendars, conference room reservations, and visitor/facility access logistics
• Facilitate meeting operations, including agendas, minutes, and action-item tracking
• Support onboarding and in-processing operations for new staff
• Manage correspondence and stakeholder communications on behalf of the team
• Support data organization and operational file management for analytic products
• Provide broader business operations support and recommend process improvements
