Job summary

Advocate Health is seeking a Program Assistant to support the MCP - Pediatrics: Surgery program. This role serves as a central point of contact for patients and staff, coordinating care coordination, authorization, and scheduling tasks.

You will facilitate meetings, manage data entry for quality initiatives, and ensure regulatory documentation is accurate and complete. The position emphasizes leadership within the department, cross-functional collaboration, and mentoring new hires.

Qualifications

• High school diploma or equivalent or associate degree preferred
• At least 2 years' experience within a specified subspecialty program (e.g., Liver Transplant, Kidney Transplant, Heart Transplant, Heart Failure or Liver Failure)

Responsibilities

• Performs all functions of the Care Coord/Auth/Sched Specialist
• Serves as a central point of contact for the program for patients and staff
• Initiates and facilitates resolution of patient issues and complaints with other professionals as needed
• Coordinates program-specific meetings and committees such as selection and group teaching
• Completes data entry for program quality initiatives
• Audits documentation to ensure regulatory compliance
• Orders program-specific medical supplies
• Precepts and mentors new hires
• Maintains provider travel documents
• Supports department scheduling and meeting coordination

Education

High school diploma or equivalent; Associate degree preferred

2+ years experience in a specified subspecialty program
