Job summary

UT Southwestern Medical Center is seeking a Residency Program Coordinator to administer and coordinate one or more residency/fellowship programs. This role will work closely with the Program Director to ensure successful implementation and oversight of program activities, including education, records, and accreditation.

Qualifications

• Associate's degree in business or healthcare administration; two years of related experience or 60 college hours may substitute for an Associate's Degree.
• May be required to submit to a federal background investigation.
• Bachelor's degree preferred.

Responsibilities

• Coordinate and facilitate all aspects of the GME program, including educational activities (e.g., didactic sessions, conferences, grand rounds) and program-wide events (e.g., orientation, graduation, retreats).
• Maintain program records, databases, and accreditation documentation.
• Assist with resident recruitment, selection, and onboarding processes, including visa requirements, licensure, and credentialing.
• Provide assistance and support to residents/fellows on program policies, procedures, and administrative matters.
• Work closely with the Program Director to ensure program compliance with ACGME requirements and institutional policies.
• Assist the program leadership with program quality initiatives and improvement projects.
• Participates in professional development activities.
• Coordinate and facilitate resident/fellow evaluations, including scheduling, data entry, and analysis.
• Assist with the preparation and submission of all required reports and documentation to the ACGME, the Accreditation Council for Graduate Medical Education (ACGME), and other regulatory bodies.
• Maintains and updates program letters of agreement with affiliated institutions and training sites.
• Assist with the coordination of accreditation site visits, special reviews, and annual program evaluation.
• Assist with the development, implementation, and tracking of resident wellness programs.
• Maintains effective communication with residents, fellows, faculty, staff, and other stakeholders.
• Utilizes and maintains proficiency in RMS, EHR, and other program-specific applications.
• Assists with program budget management, including monitoring expenditures, reconciling trainee clinical effort, and ensuring compliance with financial regulations and reporting requirements.
• Perform other duties as assigned.
