Job summary

UC San Diego is seeking an Education Programs Coordinator to support medical education programs in the Department of Pediatrics. The role involves coordinating clerkships, residency projects, and learner activities, with extensive collaboration across faculty and learners.

You will manage schedules, exams, and program logistics while guiding policy interpretation and timelines in a hybrid onsite/remote work model.

Qualifications

• Six (6) years of related experience, education/training, OR a Bachelor's degree in related area plus two years of related experience/training.
• Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
• Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
• Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner. Must have excellent communication skills.
• Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
• Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars/schedules requires extremely well organized and detail oriented precision.
• Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.
• Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
• Ability to complete work and meet established deadlines in an accurate and timely manner.
• Demonstrated ability to analyze and seek solutions to enhance user experience.

Responsibilities

• Coordinate day-to-day operations for the Pediatrics 401 Clerkship and Pediatrics 427 Subinternship.
• Maintain student schedules in MedHub and coordinate clinical site assignments.
• Support evaluation and grading, including mid-clerkship feedback and rotation evaluations.
• Assist with NBME shelf exams logistics, proctoring, and testing procedures.
• Communicate regularly with students, faculty, residents, and site coordinators on policies and timelines.
• Collaborate with Clerkship Directors, Department Leadership, and UGME Office for operational decisions.
• Manage Residency Program operations, supporting curriculum, scheduling, databases, and learner compliance.
