Job summary

Brown University Health seeks a pediatric site/office coordinator to support daily non-clinical patient operations across pediatric locations. You will ensure efficient scheduling, registration, and ambulatory workflows for pediatric patients and caregivers, greeting patients, supporting referrals, and maintaining high-quality customer service via phone and patient portals.

Qualifications

• Education requirements include a high school diploma or equivalent; associate degree preferred.
• At least three years of experience in ambulatory or outpatient medical practice operations.
• Proficient in electronic medical records and related computer systems.

Responsibilities

• Demonstrates understanding of job description, performance expectations, and competency assessment plan.
• Provides excellent customer service and adheres to our Customer Service Standards.
• Oversees patient financial processes and end-of-day reconciliation of arrivals and payments.
• Supports patient operations of the site or specialty and facilitates referrals.
• Onboards and guides new staff to ensure compliance with pediatric ambulatory policies.
• Coordinates with site leadership to improve patient workflows and experience.
• Documents patient interactions in the medical record and patient portal communications.
• Assists with patient care tasks such as letters, forms, screenings, and referrals.
• Manages scanning workload and electronic inboxes to ensure timely action.
• Schedules visits/admissions and arranges referrals and prior authorizations as needed.
• Performs outreach to patients overdue for care or high-priority tasks.
• Supports physician schedule templates and collaborates with administrative teams.
