Job summary

Insight Global is seeking a Payroll Tax Analyst to support payroll tax across multiple states for a growing healthcare organization. The role focuses on accurate tax compliance, regulatory changes, and audit-ready reporting.

The candidate will work with tax and accounting teams, manage tax filings, W-2 processing, and help improve processes with best practices. A strong background in payroll tax and related systems is required.

Qualifications

  • Minimum three years of payroll tax experience with FLSA, tax forms, and filing knowledge.
  • Proficient with Microsoft Excel, including pivot tables and VLOOKUP.
  • Experience with multi-state, multi-entity payroll processing, tax reconciliation, payments and filings.
  • Degree in Business, Accounting, Finance or related field.
  • Experience with Workday payroll processing and tax reporting.
  • ADP Smart Compliance experience is a plus.

Responsibilities

  • Ensure payroll taxes are calculated, filed, and remitted on time.
  • Review payroll tax reports for accuracy and address discrepancies.
  • Manage payroll withholding tax activities to ensure regulatory compliance.
  • Respond to payroll tax notices, audits, and authority correspondence.
  • Register new tax accounts and jurisdictions as needed.
  • Analyze and resolve complex payroll tax issues using tax law knowledge.
  • Process payroll tax adjustments and corrections as required.
  • Reconcile payroll tax liabilities with Accounting for GL accuracy.
  • Monitor changes in payroll tax legislation and ensure ongoing compliance.
  • Support audit requests with payroll tax documentation and reporting.
  • Prepare, balance, and reconcile quarterly and year-end payroll tax filings.
  • Assist with Form W-2, W-3, and corrected documents distribution.
  • Determine proper tax treatment of employee payments, earnings and deductions.
  • Apply payroll tax best practices to improve processes and compliance.
  • Participate in special projects and additional duties as assigned.

Position Summary

The Payroll Tax Analyst is responsible for supporting all payroll tax functions for a growing multi-state healthcare organization and its affiliated entities. This role ensures timely and accurate payroll tax compliance, stays current on federal, state, and local tax regulations, and serves as a subject matter expert for payroll tax matters. The Payroll Tax Analyst plays a key role in maintaining compliance, resolving tax-related issues, and ensuring accurate payroll tax reporting and filings.

Key Responsibilities
  • Ensure all federal, state, and local payroll taxes are calculated, filed, and remitted accurately and on time.
  • Review payroll tax reports and filings for accuracy and identify any discrepancies or areas of concern.
  • Manage payroll withholding tax activities and ensure compliance with all applicable tax regulations to avoid penalties and interest.
  • Research, investigate, and respond to payroll tax notices, audits, and correspondence from tax authorities.
  • Register new tax accounts and jurisdictions as business needs require.
  • Analyze and resolve complex employee payroll tax issues, applying payroll and tax law knowledge to determine appropriate solutions.
  • Process and coordinate payroll tax adjustments and corrections as needed.
  • Reconcile payroll tax liability accounts and partner with Accounting to ensure general ledger balances are accurate.
  • Monitor changes in payroll tax legislation and regulatory requirements to ensure ongoing compliance.
  • Support internal and external audit requests by providing payroll tax documentation and reporting.
  • Prepare, balance, and reconcile quarterly and year-end payroll tax filings.
  • Support the preparation, review, and distribution of Forms W-2, W-3, and corrected tax documents.
  • Determine proper tax treatment of employee payments, earnings, and deductions.
  • Apply payroll tax best practices to improve processes, accuracy, and compliance.
  • Participate in special projects and additional duties as assigned.

  • Degree in Business, Accounting, Finance or related field
