Job summary

Octagon Consulting, LLC is seeking an experienced Payroll Tax & Compliance Specialist to support payroll tax processing, compliance, reporting and issue resolution. You will review federal/state/local tax filings, resolve discrepancies, and maintain accurate records while communicating with clients.

The ideal candidate will have 2+ years in payroll tax, familiarity with ADP/UKG/Paycom/UltiPro, strong Excel skills, and a detail‑oriented, deadline‑driven mindset in a client‑facing role.

Qualifications

  • 2+ years of payroll tax, payroll processing, tax compliance, or related experience.
  • Strong understanding of federal and state payroll tax requirements.
  • Experience with payroll tax filings, amendments, reconciliations, and corrections.
  • Knowledge of Forms 940, 941, W-2, and W-2C.
  • Experience researching and resolving IRS and state tax notices.
  • Proficiency with Microsoft Excel and Microsoft Office.
  • Experience with payroll systems such as ADP, UKG, Paycom, UltiPro, or similar platforms is preferred.

Responsibilities

  • Research and resolve federal, state, and local payroll tax discrepancies and filing issues.
  • Process payroll tax amendments and corrections to ensure accurate tax reporting.
  • Review payroll records, employee wages, tax withholdings, and deductions for accuracy.
  • Assist with federal and state payroll tax filings, including Forms 940, 941, W-2, and W-2C.
  • Research and respond to IRS and state tax notices, penalties, and tax-related inquiries.
  • Review tax liabilities, deposits, filing requirements, and payment discrepancies.
  • Support quarterly and year-end payroll tax processes.
  • Process payroll adjustments, off-cycle payrolls, manual checks, and other corrections as needed.
  • Research payroll tax regulations and apply applicable federal and state requirements.
  • Reconcile payroll tax reports against payroll records and tax agency filings.
  • Assist with SUTA/FUTA compliance, state unemployment filings, and tax registrations.
  • Identify discrepancies and determine appropriate corrective actions.
  • Maintain accurate documentation related to tax filings, amendments, reconciliations, and compliance activities.
  • Communicate with clients and internal departments to resolve payroll and tax issues.
  • Provide professional and timely customer service while handling sensitive payroll and tax information.
  • Assist with audits, compliance reviews, and year-end tax projects.
  • Maintain confidentiality of employee, payroll, and tax information.
  • Stay current on changes to federal, state, and local payroll tax regulations.

  • Experience with EFTPS or other electronic tax payment systems.
  • CPP or FPC certification is a plus.
  • Experience working with payroll tax amendments and year-end corrections.
  • Experience in a client-facing payroll or tax services environment.
