Payroll Specialist / Administrative Assistant
Position Overview: As a Payroll Specialist / Administrative Assistant, you will support clients’ day-to-day payroll needs while also providing essential administrative support to the Jerseyville office. You will work closely with clients and internal team members to deliver accurate, timely service that reflects our commitment to excellence and personalized client care.
Key Responsibilities
- Maintain payroll information by collecting, calculating, and entering client payroll data.
- Prepare client payroll and related monthly and quarterly payroll tax filings.
- Ensure payroll tax documents are filed accurately and on time in accordance with applicable laws and regulations.
- Maintain thorough, organized files and supporting documentation.
- Work closely with clients to provide responsive, accurate, and timely service.
- Communicate clearly and professionally with clients and internal team members.
- Provide general clerical and administrative support, including answering phones, greeting clients, and delivering excellent client service.
Qualifications
- High level of integrity, discretion, and accuracy when handling confidential payroll and client information.
- Strong numerical, analytical, problem-solving, and reconciliation skills, including the ability to identify and communicate discrepancies.
- Excellent organization, time management, dependability, and attention to detail.
- Ability to manage multiple priorities and meet recurring filing and client-service deadlines.
- Adaptability and willingness to learn new software and take ownership of assigned responsibilities.
- Ability to work effectively both independently and collaboratively as part of a team.
- Clear, professional communication and strong customer service skills.
- Experience in customer service, data entry, bookkeeping, payroll, or administrative support in an office environment is preferred, but not required.
- Proficiency with Microsoft Word and Excel is preferred. Experience with QuickBooks, Sage, Accounting CS, or other tax and accounting software is a plus.
- A positive, motivated, and team-oriented approach, with experience in a professional office setting preferred.
