Job description

We are seeking an experienced Payroll Specialist to manage high-volume, multi-state payroll for multiple business entities. This position is responsible for accurate and timely weekly payroll processing, payroll reconciliations, certified payroll reporting, and prevailing-wage compliance.

Key Responsibilities
  • Process weekly payroll for multiple entities and ensure employees are paid accurately and on time.
  • Review, import, and validate employee time, hours, job coding, pay rates, deductions, benefits, garnishments, stipends, and other payroll information.
  • Research and resolve payroll discrepancies, missed hours, coding issues, and other exceptions prior to payroll processing.
  • Process off-cycle payments, manual checks, corrections, and other payroll adjustments as needed.
  • Prepare and submit certified payroll reports for federal and state prevailing-wage projects.
  • Ensure appropriate wage rates, fringe benefits, and employee classifications are applied based on project and jurisdiction requirements.
  • Maintain compliance with Davis-Bacon, prevailing-wage, multi-state payroll tax, and other applicable payroll requirements.
  • Reconcile payroll registers, payroll liabilities, tax withholdings, benefit deductions, and hours worked.
  • Maintain accurate employee, payroll, job, rate, and deduction information within payroll and related systems.
  • Assist with payroll audits, agency requests, compliance reporting, and supporting documentation.
  • Partner with HR, operations, and project teams to address payroll and timekeeping questions.
  • Support payroll process improvements, documentation, system enhancements, and the integration of additional entities.
Qualifications
  • 3+ years of full-cycle payroll processing experience.
  • Experience processing high-volume, multi-state payroll.
  • Construction industry and/or multi-entity payroll experience preferred.
  • Experience with certified payroll and prevailing-wage requirements strongly preferred.
  • Knowledge of Davis-Bacon requirements and WH-347 reporting is a plus.
  • Experience with Vista by Viewpoint or a similar payroll/ERP system preferred.
  • Strong Excel skills, including pivot tables, SUMIFS, and reconciliations.
  • Strong attention to detail with the ability to meet recurring weekly deadlines.
  • Ability to research payroll discrepancies and resolve issues accurately and efficiently.
  • Strong communication skills and the ability to work effectively with employees, HR, operations, and other departments.
