Job summary

Kirby Risk in Lafayette, IN is seeking an On-Site Payroll Specialist to ensure payroll accuracy, maintain regulatory compliance, and optimize payroll processes.

You will review and balance payroll transactions, manage time records, and safeguard confidential records, while leveraging Dayforce for system performance and improvements. This role requires strong Excel skills and discretion.

Qualifications

  • 3+ years of payroll and/or HR experience with a multi-state employer.
  • 3+ years of experience using payroll software.
  • Strong Excel skills (VLOOKUPs, PivotTables) and data accuracy.
  • Ability to handle confidential information with professionalism.

Responsibilities

  • Review, validate, and approve payroll transactions to ensure accuracy and compliance.
  • Process payroll entries, time records, and adjustments within deadlines.
  • Maintain payroll records and employment eligibility documentation (I-9).
  • Ensure compliance with FLSA and federal/state requirements in payroll.
  • Coordinate payroll and tax reporting and support audits and decisions.

On-Site Payroll Specialist – Lafayette, IN

At Kirby Risk, our Employee Services team plays a vital role in supporting our people, processes, and business operations through accurate payroll administration, regulatory compliance, and exceptional employee support.

What You’ll Do As a Payroll Specialist

In this role, you’ll be responsible for ensuring payroll accuracy, maintaining compliance with federal and state requirements, and optimizing payroll processes and reporting to support organizational success.

You’ll
  • Review, validate, and approve payroll transactions, including earnings, deductions, taxes, garnishments, and direct deposit information, to ensure accuracy and compliance.
  • Process payroll entries, time records, and applicable adjustments, ensuring payroll is balanced and transmitted within established deadlines.
  • Secure, maintain, and update required payroll and personnel records in accordance with federal, state, and local requirements, including employment eligibility documentation such as I-9 forms.
  • Review payroll and employment-related documentation for alignment with company policies, applicable laws, and federal and state compliance standards.
  • Maintain a working knowledge of Fair Labor Standards Act (FLSA) requirements and apply related guidance to payroll processing and compliance activities.
  • Coordinate payroll and tax reporting activities to support accurate recording, reconciliation, and regulatory compliance.
  • Prepare, review, and analyze reports generated from the HRIS system to support payroll administration, audits, and business decision-making.
  • Serve as the primary liaison with Dayforce to monitor system performance, troubleshoot payroll-related issues, and support process improvements.
  • Respond to internal and external requests for payroll or employment-related information, as appropriate and in accordance with confidentiality and compliance requirements.
  • Represent Kirby Risk with professionalism in every customer and vendor interaction.
What Makes You a Great Fit
  • High school diploma, GED, or equivalent combination of education and work experience.
  • 3+ years of payroll and/or Human Resources experience with a medium to large, multi-state employer.
  • 3+ years of experience using payroll software.
  • Strong interpersonal skills with the ability to effectively interact with employees at all levels of the organization.
  • Proven ability to handle sensitive and confidential information with professionalism, whether in person or over the phone.
  • Strong payroll balancing and account reconciliation skills.
  • Excellent attention to detail, organization, planning, multitasking, and follow-through skills.
  • Excel proficiency required (VLOOKUPs and PivotTables).
  • Strong computer aptitude and proficiency with Microsoft Office applications, including Outlook, PowerPoint, and Word.
  • Bilingual communication skills (English/Spanish) preferred.
  • Credible, responsive, and collaborative team player.
  • Demonstrates adaptability and openness to learning.
  • Commitment to continuous growth and professional development.

  • Occasional travel required
  • Schedule: Monday - Friday, 7:00 a.m. through 5:00 p.m., with overtime as business needs and payroll deadlines require.
