Job summary

Acacia Health, a multi-site home health and hospice provider, is seeking a Payroll Specialist to assist the Payroll Manager and serve as the primary backup for payroll processing at our Irvine headquarters. This full-time, on-site role requires meticulous attention to detail to ensure accurate, on-time payroll and to handle a variety of payroll reports.

The ideal candidate will have 3+ years' experience with California payroll, be proficient in Paychex (or Paycom/ADP), and possess strong Excel

Qualifications

• 3+ years of payroll processing experience in California.
• Experience with Paychex; Paycom/ADP also considered.
• Advanced Excel skills (formulas, lookups, pivot tables).
• Healthcare payroll experience preferred.
• EMR system experience (HCHB or similar) preferred.

Responsibilities

• Serve as backup to the Payroll Manager and assist with payroll processing.

• Review new-hire payroll setup, PTO policies, and timekeeping assignments in Paychex.

About The Payroll Specialist Role

We are looking for an experienced Payroll Specialist to assist our Payroll Manager and serve as the primary backup for payroll processing. This position requires excellent attention to detail, and the ability to manage a variety of payroll reports, calculations, and recurring deadlines.

The Payroll Specialist will be a key member of the payroll team and will help ensure employees are paid accurately and on time. We are looking for someone who takes ownership of their work, carefully reviews details, and can confidently step in as payroll backup when needed.

This is a full-time, on-site position located at our corporate headquarters in Irvine, California. Compensation for this position is $27.00 per hour.

Responsibilities

• Serve as backup to the Payroll Manager.
• Assist with preparing and reviewing payroll.
• Create and maintain payroll spreadsheets and Excel reports.
• Review and verify newhire payroll setup, PTO policies, holiday groups, and timekeeping group assignments in Paychex.
• Utilize Homecare Homebase (HCHB) to review payrollrelated employee, mileage, and visit information.
• Enter and review PTO, mileage, bonuses, holiday pay, salary adjustments, hourly pay, pervisit pay, and other specialized compensation.
• Review timecards for missed punches, high overtime, unpaid days, and other exceptions.
• Review payroll data for missing rates, duplicate entries, unusual mileage, and other discrepancies.
• Communicate with employees and managers to resolve payroll questions or missing information.
• Assist with audits, special reports, and other payroll projects.
• Complete and respond to EDD requests and forms, including unemployment and disability documentation.

Qualifications

• 3+ years of experience processing payroll and supporting payroll operations in California.
• Experience with Paychex preferred. Experience with Paycom, ADP, or similar software will also be considered.
• Intermediate to advanced Microsoft Excel skills, including formulas, lookups, sorting, filtering, and pivot tables.
• Strong attention to detail, organizational skills, and ability to meet recurring deadlines.
• Strong analytical and problemsolving abilities.
• Excellent written and verbal communication skills.
• Ability to maintain confidentiality and handle sensitive employee information.
• Healthcare payroll experience preferred.
• Experience with Homecare Homebase (HCHB) or another healthcare electronic medical record (EMR) system preferred.
