The AI Advantage, headquartered in Scottsdale, AZ, seeks an HR and Payroll Administrator to own payroll first and later expand to onboarding and HRIS maintenance. You’ll learn from the Head of Human Resources and bring about 2 years of payroll or HR experience, embracing AI tools in daily work.

Responsibilities include precise payroll processing, issue resolution, and year-end filings, with a path from payroll to full HR in a fast-growing AI-centric company.

Qualifications

• About 2 years of hands-on payroll experience in a payroll, HR administration, or combined role.
• Knowledge of at least one HRIS or payroll platform (e.g., ADP, Paylocity, Gusto, Rippling, TriNet).
• Familiarity with onboarding and offboarding compliance (I-9s, tax forms, COBRA).
• Comfort with Excel or Google Sheets (lookups, pivot tables, basic formulas).
• Curiosity about AI; use of Claude, ChatGPT, or similar tools.
• Strong attention to detail and habit of double-checking numbers.
• Sound judgment with confidential information.
• Clear, friendly communication with employees at all levels.

Responsabilités

• Process payroll accurately and on schedule, including hours, PTO, bonuses, commissions, and deductions.
• Review payroll registers, reconcile variances, and resolve issues before they reach employees.
• Support payroll tax filings and year-end (W-2s, 941s) with our payroll provider.
• Answer employee questions about pay, deductions, and time off with clarity.
• Coordinate the full new hire experience: offer paperwork, I-9 and E-Verify, tax forms, benefits enrollment, system setup.
• Manage offboarding steps: final pay, benefits termination, COBRA notices, access removal.
• Maintain accurate employee records in HRIS; handle hires, changes, terminations.
• Use AI tools for reporting, documentation, and audits with human checks on numbers.
