Job summary

Beyond Blue is seeking a Payroll and Workforce Management Coordinator to handle payroll processing, maintain timekeeping accuracy, and ensure timely compensation for staff. The role operates under the Supervisor, Payroll and Workforce Management within Pavilion, Florida.

You will independently process payroll, ensure regulatory compliance, collaborate with HR and management, and support audits and reporting while identifying process improvements.

Qualifications

  • 2–3 years of experience in finance, accounting, healthcare, clinical setting, or related field.

Responsibilities

  • Maintain and update timekeeping and payroll systems in compliance with policies.
  • Monitor on-call and per diem staff time and reconcile hours for accuracy.
  • Compile, process, and audit payroll data including garnishments and deductions.
  • Prepare payroll reports (W-2 distribution, tax returns) and year-end documentation.
  • Troubleshoot payroll/timekeeping issues and ensure compliance with laws and policies.
  • Support onboarding payroll data for new hires and changes.
  • Suggest process improvements to enhance accuracy and efficiency.

Job Summary

Responsible for processing payroll, maintaining accurate timekeeping and payroll records, and ensuring timely, accurate compensation for employees. Independently processes payroll and workforce data, ensures compliance, provides guidance, and supports process improvements. Collaborates with HR, Payroll, and management to resolve issues, supports financial reporting and audit activities, and ensures compliance with organizational policies in day-to-day operations.

Essential Functions
  • Maintain and update timekeeping and payroll systems in compliance with organizational policies and standards.
  • Monitor and flag employee time, attendance, and incentive eligibility (including on-call and per diem staff); reconcile schedules and payroll hours to ensure accuracy and timely processing.
  • Compile, process, and audit payroll data, including worked hours, deductions, garnishments, levies, direct deposits, and manual corrections; produce bi-weekly payroll promptly and accurately.
  • Prepare and maintain payroll and timekeeping reports, including routine, ad hoc, and year-end documentation (e.g., W-2 distribution, federal/state/local tax returns).
  • Develop, maintain, and communicate policies and guidelines related to scheduling, timekeeping, and payroll.
  • Serve as a resource to system users; independently troubleshoot and resolve payroll and timekeeping issues, escalating only highly complex matters.
  • Ensure compliance with payroll laws, regulations, and organizational policies.
  • Collaborate with HR, staffing, and management teams to ensure payroll accuracy and resolve issues.
  • Maintain payroll system updates for employee data, pay codes, deductions, and tax calculations; assist with onboarding payroll data for new hires and process changes for existing employees.
  • Recommend and implement process improvements to enhance timekeeping and payroll accuracy, compliance, and efficiency.
  • Performs other duties as assigned.
Education Requirement

High school diploma or equivalent experience

Experience Requirement

2-3 years of experience in finance, accounting, healthcare, clinical setting, or a relevant area An equivalent combination of education and experience may be considered. All experience must be paid and in the same related field. Part‑time and PRN experience will be prorated based on hours worked per week. Volunteer work and internships for academic credit are not counted.
