Job summary

Beyond Blue Corporation is seeking an HIM Representative to process and fulfill medical record requests in compliance with HIPAA and laws. You will provide patient and provider support, access electronic records, and ensure timely, accurate releases while maintaining confidentiality.

The role requires 2–3 years in Health Information Management/Medical Records, a high school diploma or equivalent, and proven organizational skills. Day shift, full-time, on-site in Pavilion.

Qualifications

  • High school diploma or equivalent required; health information mgmt/medical records experience preferred.
  • Experience in handling medical record requests while maintaining HIPAA compliance.
  • Strong customer service and communication skills with attention to detail.

Responsibilities

  • Process medical record requests from patients, providers, attorneys, insurers, and authorized parties.
  • Screen requests for completeness and HIPAA/state/federal compliance before releasing information.
  • Retrieve and prepare records from electronic and paper sources; ensure proper documentation and releases.
  • Respond to subpoenas and legal requests with Legal, Risk, and Privacy teams.
  • Document all actions in EPIC ROI and related health information systems.

Job Summary

Responsible for processing and fulfilling medical record requests in compliance with HIPAA, state and federal laws, and organizational policies. Provides customer service to patients, families, providers, legal entities, and third-party requestors while ensuring accuracy, confidentiality, and timeliness. Utilizes electronic health records and related systems to retrieve, review, and release information. Supports quality, regulatory, and operational standards through accurate documentation and efficient workflow management.

Essential Functions
  • Receives, reviews, and processes requests for medical records from patients, providers, attorneys, insurers, law enforcement, and other authorized parties.
  • Screens requests for completeness and compliance with HIPAA, state, federal, and enterprise policies before releasing information.
  • Retrieves and prepares records from electronic systems, paper files, microfilm, and off-site storage.
  • Certifies records, processes amendments, and ensures proper documentation of all releases.
  • Responds to subpoenas, court orders, and other legal requests in collaboration with Legal, Risk, and Privacy teams.
  • Provides customer service by answering calls, responding to inquiries, and assisting walk-in visitors with record requests.
  • Releases information through approved methods including fax, mail, portal, electronic media, or secure transfer.
  • Invoices requestors, reconciles payments, and manages outstanding balances in compliance with contracts and policies.
  • Documents all requests, releases, and actions in EPIC ROI and other health information systems.
  • Maintains productivity, accuracy, and quality standards while safeguarding confidentiality.
  • Performs other duties as assigned.
Education Requirement

High school diploma or equivalent experience. Experience in Health Information Management/Medical Records preferred.

Experience Requirement

2-3 years of experience. An equivalent combination of education and experience may be considered. All experience must be paid and in the same related field. Part-time and PRN experience will be prorated based on hours worked per week. Volunteer work and internships for academic credit are not counted.
