Job summary

Addison Group is seeking an experienced Union Reporting & Certified Payroll Compliance Specialist to join its payroll team in St. Paul, MN.

The role focuses on union payroll, certified payroll, prevailing wage compliance, and multi-state reporting. The successful candidate will serve as a subject matter expert, partnering with Payroll, HR, Accounting, and Operations to ensure compliance, improve processes, and support system enhancements.

Qualifications

  • Must have 5+ years of payroll experience with union payroll and certified payroll reporting.
  • Experience in construction or project-based industries preferred.
  • Strong knowledge of prevailing wage regulations and multi-state payroll taxes.
  • Experience with certified payroll systems (LCPtracker, eMars, E-Comply, Alliant, Workday, UKG).
  • Proficient in advanced Excel (VLOOKUP, XLOOKUP, data analysis).
  • Excellent communication and cross-functional collaboration skills.

Responsibilities

  • Prepare, review, certify, and submit certified payroll reports per prevailing wage laws.
  • Manage union reporting requirements, including deadlines and compliance.
  • Audit data across multiple systems for accuracy in union/certified payroll.
  • Investigate payroll discrepancies related to union reporting and rates.
  • Monitor changes to collective bargaining agreements and regulatory updates.
  • Collaborate with Payroll, HR, Accounting, PM, and Compliance teams to resolve issues.
  • Serve as the internal expert for certified payroll and union reporting queries.
  • Maintain documentation to support audits and regulatory reporting.
  • Oversee payroll compliance tools and drive process improvements.
  • Provide backup support for other payroll compliance functions as needed.

Position Title: Union Reporting & Certified Payroll Compliance Specialist

Location: St. Paul, MN (Hybrid – 3 days on-site, 2 days remote)

Assignment Type: Permanent Hire

Compensation: $85,294.57 annually + 10% Bonus

Work Schedule: Monday – Friday, 9:00 AM – 5:00 PM

Job Description:

Our client is seeking an experienced Union Reporting & Certified Payroll Compliance Specialist to join their growing payroll team. This role is ideal for a payroll professional with deep experience in union payroll, certified payroll, prevailing wage compliance, and multi-state payroll reporting. The successful candidate will serve as a subject matter expert, ensuring compliance with union agreements and certified payroll requirements while partnering cross-functionally with Payroll, Human Resources, Accounting, and Operations.

This position offers the opportunity to join a collaborative payroll team supporting a large, complex organization while playing a key role in maintaining compliance, improving processes, and supporting ongoing system enhancements.

Key Responsibilities:

  • Prepare, review, certify, and submit certified payroll reports in accordance with federal, state, and local prevailing wage requirements
  • Manage union reporting requirements, including report preparation, payment processing, submission deadlines, and ongoing compliance
  • Maintain and audit union and certified payroll data to ensure accuracy across multiple systems
  • Research, investigate, and resolve payroll discrepancies related to union reporting, classifications, prevailing wage rates, and certified payroll requirements
  • Monitor changes to collective bargaining agreements, wage rates, reporting requirements, and regulatory updates, ensuring timely implementation
  • Partner with Payroll, Human Resources, Accounting, Project Management, and Compliance teams to resolve reporting issues and improve processes
  • Serve as the primary internal resource for certified payroll and union reporting questions while providing guidance and support to internal stakeholders
  • Maintain organized documentation and records to support audits, compliance reviews, and regulatory reporting requirements
  • Manage certified payroll reporting tools and compliance systems while supporting ongoing process improvements and system enhancements
  • Assist with additional payroll compliance projects and provide backup support for other payroll compliance functions as needed

Qualifications:

  • 5+ years of payroll experience with significant exposure to union payroll and certified payroll reporting
  • Experience within construction, engineering, HVAC, or a similar project-based industry required
  • Strong knowledge of prevailing wage regulations, certified payroll requirements, union agreements, and multi-state payroll taxes
  • Experience working with certified payroll and compliance systems such as LCPtracker, eMars, E-Comply, Alliant, Workday, UKG, or similar platforms preferred
  • Advanced Microsoft Excel skills, including VLOOKUPs, XLOOKUPs, and data analysis
  • Strong attention to detail with excellent organizational and problem-solving skills
  • Ability to manage multiple deadlines while working collaboratively across departments
  • Excellent written and verbal communication skills with the ability to build strong internal and external relationships
