Qualifications

  • High School diploma or GED required.
  • At least 1 year of customer service, office, or related experience.
  • Experience with referrals and scheduling is preferred.

Responsibilities

  • Referral Management & Tracking: Manage referrals from provider order through appointment completion, with real-time documentation of required data.
  • Appointment Scheduling & Coordination: Schedule off-site and specialty appointments, coordinate transport, verify weekly and avoid duplicates.
  • Telehealth Coordination: Offer telehealth when applicable and track whether services were offered, accepted, or declined.
  • Communication with External Clinics: Serve as primary contact for outside clinics and maintain updated contact information.
  • Documentation & Reporting: Maintain real-time referral and scheduling spreadsheets for reporting and audits.
  • Communication with Internal Team: Update providers and leadership on status, delays, or barriers to care.
  • Other Duties: Perform additional administrative duties and support workflow improvements.

Position Description

This position is responsible for ensuring the smooth operation ofthe clinic's patient flow and serving as the primary contact forpatients at the Bell County Jail in Belton, TX . Responsiblefor scheduling appointments, preparing necessary paperwork beforethe patient visits, receiving patients, and maintaining records. Inaddition, this position is responsible for processing charges forclinic services, filing insurance claims, responding to requestsfor information from patients and insurance companies andmaintaining related information for the department.

Major/Essential Functions
  • Referral Management & Tracking - Manages referrals fromprovider order through appointment completion, including timelyscheduling with outside clinics and real-time, concisedocumentation of required data, while performing daily follow-up onall pending referrals to ensure accuracy and completion.
  • Appointment Scheduling & Coordination - Responsible forscheduling all off-site and specialty appointments, coordinatingwith transport, confirming appointments weekly, and ensuringaccurate, up-to-date scheduling without missed or duplicateentries, while communicating any changes or conflictspromptly.
  • Telehealth Coordination - Responsible for offering telehealthwhen applicable, communication options with clinic offices, andaccurately tracking whether services were offered, accepted, ordeclined.
  • Communication with External Clinics - Serves as the primarycontact for outside specialty clinics, maintaining professionalcommunication, updating contact information, and ensuring timelycompletion of office manager contact collection.
  • Documentation & Reporting - Maintains referral andscheduling spreadsheets in real time, ensuring documentation isconcise, accurate, and limited to required data for reporting,audits, and operational review.
  • Communication with Internal Team - Communicates with providers,nursing staff, and leadership regarding referral status, schedulingupdates, and barriers to care, escalating concerns through theappropriate chain of command and providing timely updates on delay,cancellations, or other issues impacting patient care.
  • Other Duties - Performs additional administrative duties asassigned, supports team operations, and contributes to workflow andprocess improvements to enhance overall clinic efficiency.
