Job summary

Texas Tech University Health Sciences Center seeks a Patient Services Supervisor to direct daily front-office operations across multiple clinical sites in Permian Basin. The role includes scheduling, registrations, insurance verification, and maintaining patient records, with travel between sites.

Ideal candidates have at least 5 years in customer service with supervisory experience, preferably in a clinical setting, and may be bilingual in English and Spanish.

Qualifications

  • High school diploma or equivalent; five (5) years of customer service experience with at least two (2) years in a supervisory role; clinic/physician office preferred.
  • Or three (3) years of experience with TTUHSC’s Patient Services Program, including at least one (1) year in a supervisory role.
  • Experience in a clinical setting preferred.
  • Bilingual English/Spanish preferred.

Responsibilities

  • Supervise day-to-day patient services operations across clinical sites, ensuring front office coverage and workflow efficiency.
  • Oversee appointment scheduling, patient registration, check-in/out, insurance verification, collections, and accurate patient records maintenance.
  • Develop and maintain PSS staff schedule aligned with clinic operations and staffing requirements.
  • Hiring, training, and monitoring performance and productivity; provide ongoing feedback and evaluations for PSS staff.
  • Address patient concerns and operational issues; support timely service and improve patient/family experience.
  • Travel between clinic sites to provide leadership and supervision of Patient Services staff.
  • Review data, prepare reports, assist with procedures and policy implementation, process improvement, and clinic operations.
  • Provide direct support to the Department Administrator in daily clinic operations.

Position Description

Directs and supervises Patient Services staff in the processing of patients. Supervises scheduling of appointments, patient visits, the receiving of patients, and the maintenance of records; supervises processing of charges for clinic services, filing of insurance claims, responses to requests for information from patients and insurance companies and the maintenance of related information for the department. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor.

Major/Essential Functions
  • Supervise day-to-day patient services operations across clinical sites, ensuring effective front office coverage, workflow efficiency, and consistent service standards.
  • Oversee appointment scheduling, patient registration, check-in and check-out, insurance verification, collections, and the accurate maintenance of patient records.
  • Develop and maintain the PSS staff schedule in alignment with clinic operations and staffing requirements.
  • Hiring,training, and monitorsperformance and productivity, provides ongoing feedback, coaching, and evaluations for PSS staff.
  • Address patient concerns and operational issues, supporting timely service and identifying opportunities to improve the patient and family experience.

Visa Information
