Qualifications

  • Experience in a medical office, healthcare administration, or patient service role preferred.
  • Strong customer service, communication, and organizational skills.
  • Experience with appointment scheduling and insurance verification.
  • Proficiency using EMR systems; EPIC experience is highly preferred.

Responsibilities

  • Answer inbound patient calls, respond to inquiries professionally and efficiently.
  • Schedule, reschedule, and cancel appointments.
  • Confirm appointment details and communicate related information.
  • Manage patient check-in/check-out processes.
  • Collect copays and verify insurance information.
  • Obtain referrals and prior authorizations as required.
  • Maintain accurate patient records in the EMR system.

Compensation: $20.00 - $25.00/hour

About the Opportunity

LHH Recruitment Solutions has partnered with a reputable healthcare organization seeking a Patient Service Representative / Program Coordinator to support daily patient-facing operations within a busy outpatient medical office. This position plays a critical role in delivering exceptional customer service, coordinating patient scheduling, managing front desk operations, and supporting administrative and insurance-related activities.

The ideal candidate will be highly organized, patient-focused, and comfortable working in a fast-paced healthcare environment.

Key Responsibilities
  • Answer inbound patient calls and respond to inquiries professionally and efficiently.
  • Schedule, reschedule, and cancel appointments in accordance with office procedures.
  • Confirm appointment details and communicate appointment-related information.
  • Manage patient check-in and check-out processes.
  • Collect copays and verify insurance information.
  • Obtain required patient signatures, referrals, and documentation.
  • Maintain accurate patient records within the electronic medical record (EMR) system.
  • Communicate wait times and patient flow updates to patients and clinical staff.
Insurance & Administrative Support
  • Verify patient demographics and insurance information.
  • Confirm insurance eligibility and benefit coverage.
  • Obtain referrals and prior authorizations as required.
  • Coordinate benefit information and assist with insurance-related inquiries.
  • Maintain accurate documentation and records.
Customer Service
  • Provide an outstanding patient experience at every interaction.
  • Address and resolve patient concerns in a professional and timely manner.
  • Build positive working relationships with patients, visitors, providers, and staff.
  • Support a welcoming and efficient front office environment.
Compliance & Quality
  • Maintain patient confidentiality and HIPAA compliance.
  • Follow all healthcare regulations, office policies, and patient safety protocols.
  • Complete required onboarding and compliance training.
Schedule Requirements

This position requires flexibility to work a variety of shifts during office hours, including:

  • Three daytime shifts scheduled between 7:45 AM and 5:30 PM
  • Rotating Saturdays approximately once every four weeks (8:00 AM – 12:00 PM)

To maintain a 40-hour workweek, employees scheduled for a Saturday shift will leave early on one weekday during that week.

Schedules are generally posted two weeks in advance.

Qualifications
  • Previous experience in a medical office, healthcare administration, or patient service role preferred.
  • Strong customer service, communication, and organizational skills.
  • Experience with appointment scheduling and insurance verification.
  • Proficiency using EMR systems; EPIC experience is highly preferred.
  • Ability to multitask in a fast-paced healthcare environment.
  • Comfortable working a flexible schedule, including evening and rotating Saturday shifts.
