Job summary

Duly Health and Care in Hinsdale, IL is seeking a Patient Service Representative to act as the friendly first touch for patients, greet and check in, answer phones, schedule appointments, and collect copays. You will ensure a welcoming front desk and accurate data entry in EPIC while protecting patient privacy.

This role requires high school diploma, at least one year in a medical office, and strong communication.

Qualifications

• High School diploma or equivalent required.
• Minimum 1 year of experience in a medical office or clinical setting preferred.
• Prior experience in a receptionist or front desk role strongly preferred.
• Exceptional customer service skills and passion for serving others.
• Outstanding verbal and written communication skills.
• Proficiency in EPIC or similar EMR systems.
• Knowledge of medical office procedures and insurance verification.
• Skilled in operating phones, personal computers, software and other basic IT systems.
• Proficient in Microsoft Office Suite products including Excel, Word and Outlook.
• Detail-oriented with excellent organizational and time management skills.
• Ability to handle sensitive information with discretion.

Responsibilities

• Greets patients warmly and professionally during check-in, check-out, and appointment scheduling.
• Conducts regular lobby checks to maintain cleanliness and ensure patient comfort.
• Coordinates provider schedules to optimize appointment availability and resource capacity.
• Updates patient demographics, verifies insurance details, generates forms, responds to emails, and documents emergency contacts in EPIC.
• Collects copayments and service fees, issues receipts, and reconciles daily transactions.
• Answers a multi-line phone system, takes messages, routes inquiries, and schedules appointments.
• Communicates information about Duly personnel to patients and others.
• Assists with scheduling follow-up and in-house referrals to specialists.
• Participates in daily/weekly team huddles to share updates and improvements.
• Monitors dashboards to identify gaps and improve Scheduling & Access, Workflow, Customer contact, and Satisfaction.
• Maintains HIPAA confidentiality and handles data with discretion.
• Notifies delays to patients with empathy to improve experience.
• Supports additional duties and special projects as needed.
