Responsibilities
- Greets and registers patients in a prompt, pleasant, and courteous manner.
- Verifies all necessary information such as demographics and insurance information in the patient medical record or file.
- Prepares patient medical records for daily appointments.
- Updates patient profiles.
- Files medical histories, labs, correspondence and other information in patient medical records in proper order following departmental guidelines.
- Maintains and updates appointment schedules, ensures patients are scheduled properly and appointments are confirmed, and posts all cancelled, rescheduled, or no‑show appointments.
- Collects all co‑pays and small balances and balances the drawer daily.
- Manages patient referrals.
- Demonstrates knowledge of EMR (Athena).
- Answers telephone, screens calls and provides information as directed.
- In person regular and punctual attendance.
- Assists other staff as directed.
- Completes other job functions as directed.
- Attends meetings as required.
Skills & Abilities
- Demonstrates current competencies such as typing or data entry.
- Has knowledge of clinic/medical practice procedures related to all medical operations.
- Familiar with phone system, copiers, and fax machines.
- Skills in customer service and maintains a pleasant and courteous demeanor while dealing with all callers; serves as a clinic liaison.
- Can screen and direct calls in a courteous and expeditious manner.
- Responds calmly and effectively to stressful or emergency situations.
- Works cooperatively as a member of office staff and team.
- Capable of lifting 30‑50 pounds.
Mental & Physical Requirements
- Mostly sedentary with some standing, walking, reaching.
- Daily and repetitive data entry.
- Periodic stress from handling many calls and patient requests.
