Job Overview
The Patient Services Representative (PSR) is the first point of contact for patients, families, referring providers and internal customers. The PSR delivers exceptional customer service while coordinating access to care, including scheduling for Medical, Surgical and Radiation Oncology services, facilitating referral coordination, maintaining accurate patient records and ensuring a seamless experience from initial contact through appointment completion. The role requires compassion, attention to detail and the ability to thrive in a fast‑paced healthcare environment.
Qualifications
Required
- High School Diploma or equivalent
- Zero to three years of customer service or healthcare experience
- Excellent verbal and written communication skills
- Strong interpersonal skills with the ability to interact professionally with patients, families, physicians and multidisciplinary teams
- Ability to accurately multitask while working in a fast‑paced environment
- Basic computer proficiency, including Microsoft Word, Excel and Outlook, and data entry
- Strong organizational and time‑management skills
- Ability to read, write and communicate effectively in English
- Commitment to delivering exceptional customer service
Preferred
- Previous experience in a healthcare, medical office, call centre or ambulatory care setting
- Knowledge of medical terminology
- Experience with electronic medical records (EMR/EHR)
- Bilingual in English/Spanish
Scheduling Requirements
- Working Shift: Monday – Friday
- Day Shift: 9:30 AM – 6:00 PM
- Per‑Diem, Schedule varies based on departmental needs, including weekdays, evenings, weekends and holidays as required
Essential Functions
- Serve as the first point of contact for patients, families, physicians and referring providers, delivering exceptional customer service in person and over the telephone.
- Schedule Medical, Surgical and Radiation Oncology appointments ensuring patients are scheduled at the most appropriate location and timeframe.
- Coordinate referrals and authorisations to facilitate timely patient access to care.
- Accurately verify and update demographic, insurance and referral information.
- Confirm upcoming appointments and perform outbound reminder calls to reduce missed appointments.
- Respond to incoming telephone calls, electronic requests, referrals and patient inquiries in a courteous, professional and timely manner.
- Maintain a thorough understanding of insurance plans, managed care requirements, referral guidelines and authorisation processes.
- Process appointment requests while adhering to departmental policies and established scheduling protocols.
- Obtain and document required insurance authorisations and referral information.
- Verify insurance eligibility and identify outstanding balances or authorisation concerns prior to scheduled appointments.
- Refer patients to Financial Counseling when appropriate.
- Maintain accurate patient documentation within the electronic medical record.
- Collaborate effectively with physicians, clinical staff, leadership and external partners to ensure continuity of care.
- Support departmental quality initiatives while maintaining confidentiality and compliance with HIPAA and organisational policies.
- Perform other duties as assigned.
