Job summary

Ohio State University Physicians (OSUP) is seeking a leader to supervise the front desk and medical records, ensuring adherence to procedures and delivering high-quality patient service in our outpatient settings.

The role includes hiring and training staff, coordinating schedules, resolving physician and patient issues, serving as clinic superuser, handling referrals, billing tasks, and occasional travel to other facilities.

Qualifications

• High school diploma and 3–5 years in a medical office setting.
• Working knowledge of EMR systems, Word and Excel.
• Ability to liaison between management and staff and manage multiple priorities.
• Excellent written and verbal communication; strong interpersonal skills.

Responsibilities

• Supervises day-to-day activities of the front desk and/or medical records staff and ensures adherence to OSUP procedures and policies.
• Hires, trains, supervises, schedules, assigns work and evaluates staff; manages payroll and attendance records.
• Acts as the primary subject matter expert for patient services in the clinic and communicates with clinical staff.
• Addresses physician complaints or issues related to front desk or medical records operations; provides solutions.
• Serves as clinic superuser; provides in-service training on scheduling and physician schedule changes.
• May work with Capacity Management Office on provider templates and provide leadership in absence of manager.
• Ordering of supplies and equipment; greets patients; registers and checks in patients; updates demographics and insurance; handles calls and messages.
• Performs check-out activities including co-pays, scheduling, and ensuring follow-up tests are ordered.
• Monitors patient wait times and notifies appropriate staff when delays occur.
• Handles referrals and medical records requests; schedules appointments; manages cash drawer and deposits as needed.
