Job Summary:
The Patient Services Coordinator serves as the primary front desk contact, managing patient check-ins, verifying insurance, updating demographics, and scheduling appointments. This role acts as a liaison between patients, providers, referring physicians, and ancillary services to ensure seamless access to healthcare. The coordinator organizes pre-admission and pre-surgery testing, manages medical records accuracy, coordinates referrals, and collaborates with financial services. Strong customer service skills, proficiency in EPIC EMR, and a commitment to patient-centered care are essential.
Responsibilities:
- Check in 200-250 patients daily, verify insurance, and update patient demographics.
- Schedule future appointments and assist with surgery, procedure, and ambulatory service scheduling.
- Serve as liaison and advocate for patients to ensure seamless healthcare access.
- Coordinate communication among patients, clinic providers, referring physicians, outside agencies, and ancillary services.
- Organize and facilitate pre-admission and pre-surgery tests, procedures, and appointments per provider or nurse direction.
- Ensure completeness and accuracy of medical records during patient visits, admissions, or procedures.
- Manage flow of documents and information between patients, providers, and payers.
- Address internal referrals promptly according to clinic leadership guidance.
- Collaborate with financial services to confirm financial information prior to appointments or procedures.
- Provide summary and status reports on referral volumes and clinic activities to leadership as needed.
- Participate in quality assessment and improvement initiatives to enhance clinic efficiency.
- Maintain and improve professional knowledge, skills, and compliance with annual learning requirements.
- Consistently utilize the AIDET system and demonstrate patient-centered care, respect, compassion, teamwork, continuous improvement, and leadership.
- Ensure confidentiality and professionalism in all communications and interactions.
- Maintain proficiency in EPIC EMR and MS Office applications.
Required Skills & Certifications:
- Minimum 1 year healthcare (medical) experience or 2 years customer service experience.
- Prior experience with Electronic Medical Records, specifically EPIC EMR.
- Strong customer service skills in a fast-paced environment.
- Proficiency in MS Office (Word, Excel, Outlook).
Preferred Skills & Certifications:
- Experience coordinating pre-admission and pre-surgery procedures.
- Familiarity with referral management and financial services collaboration.
- Knowledge of AIDET communication framework and patient-centered care principles.
