Job summary

Akron Children’s Hospital in Canton, OH is seeking a Part-Time Patient Service Representative for 32 hours/week (7:45 am - 6:00 pm, variable shifts). This onsite role focuses on visit preparation, patient arrival, payments and creating a positive patient experience.

You’ll greet patients, handle co-pays, schedule visits, manage front desk tasks, ensure HIPAA compliance and support cross-functional clerical duties.

Qualifications

  • High school diploma or equivalent required.
  • Clerical/administrative experience preferred.
  • Experience in a healthcare setting preferred.
  • Experience with scheduling systems preferred.
  • Knowledge of medical terminology preferred.
  • Excellent interpersonal and communication skills.
  • Strong organizational skills with the ability to prioritize multiple tasks.

Responsibilities

  • Greet patients and families, provide prompt, caring responses.
  • Perform visit preparation, co-pay collection, patient tracking and other duties under supervision.
  • Schedule patient visits or diagnostic testing.
  • Manage third-party payors and co-pay collection.
  • Handle routine clerical tasks: faxing, copying, filing, mailings, calls.
  • Maintain front desk inventory and communicate needs to staff.
  • Set and adjust priorities based on workload and deadlines, ensuring smooth operations.
  • Ensure waiting area and department appearance is clean and organized.
  • Participate in clerical cross-coverage when needed.
  • Ensure HIPAA compliance is followed.
  • Other duties as required.

Summary

The Patient Service Representative provides a comprehensive set of business, financial and appointment-related services including visit preparation, patient arrival and departure functions, payment functions and creating a positive patient experience.

Responsibilities
  1. Develops and maintains positive relationship with patients and families by greeting and providing prompt and caring response to questions, requests, etc.
  2. Performs point-of-service activities [visit preparation, co-pay collection, patient tracking and other duties] as assigned under the direction of the supervisor.
  3. Schedules patient visits or other diagnostic testing utilizing hospital procedures and resources.
  4. Manages third-party payors and collection of co-pays.
  5. Follows through on routine tasks and general office duties, i.e., faxing, copying, filing, mailings, promptly returning phone calls, taking and distributing messages, and etc.
  6. Responsible for ensuring appropriate front desk inventory is maintained and communicating the need to appropriate staff member.
  7. Provide for smooth running of office by setting and revising priorities based on workload and anticipating needs and deadlines.
  8. Ensure overall department appearance including the cleanliness of the work area and waiting room as needed.
  9. Participates in clerical and administrative cross coverage efforts as needed.
  10. Ensure HIPAA compliance is followed.
  11. Other duties as required.
Other information
Technical Expertise
  1. Experience working in a general office setting (clerical or administrative duties in an office setting) is preferred.
  2. Experience working in a healthcare environment is preferred.
  3. Experience in computerized scheduling system preferred.
  4. Knowledge of medical terminology preferred.
  5. Excellent interpersonal skills to communicate effectively via telephone or face-to-face with patients, patient families, physicians and other staff members within the facility.
  6. Strong organizational skills with the ability to effectively prioritize multiple tasks. Ability to perform basic math skills to process insurance co-payments.
  7. Experience working in -Microsoft Office (Outlook, Excel, Word) or similar software is required.
Education and Experience
  1. Education: A high school diploma or equivalent is required.
  2. Certification: None.
  3. Years of relevant experience: Relevant (clerical or administrative duties in an office setting) experience is preferred.
  4. Years of experience supervising: None.
