Job summary

Ascension's Via Christi Clinic in Wichita, KS is looking for a Scheduling Coordinator to support OB/GYN and urogynecology services. You’ll manage end-to-end scheduling, referrals, and patient flow for complex procedures, while ensuring accurate information in the EHR and timely communications with providers and patients.

Ideal candidates have a High School diploma or equivalent (or 1 year related experience) and a solid understanding of insurance verification and prior authorizations.

• Note: Required professional licensure/certification can be used in lieu of education or experience.

Responsibilities

• Drive Complex Surgical & Referral Coordination: Manage end-to-end scheduling for specialized OB/GYN and urogynecology procedures—including robotic, laparoscopic, labor inductions, and cesarean sections—while coordinating referrals and appointments across providers and facilities.
• Streamline Insurance & Approval Operations: Verify insurance eligibility and benefits, secure required prior authorizations, and manage approvals for schedule changes or cancellations to prevent delays in patient care.
• Maintain EHR & Data Integrity: Ensure all surgical cases, medical appointments, special instructions, and patient details are accurately entered into electronic health record systems while keeping provider contact information current.
• Ensure Protocol & Regulatory Compliance: Follow site-specific protocols and maintain precise, up-to-date documentation to ensure compliance while protecting patient confidentiality.
• Facilitate Multi-Team Communication: Serve as a central contact point among physicians, staff, surgical facilities, and patients to convey schedule adjustments and authorization statuses clearly.

Education

What minimum requirements you’ll need

• High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
  • Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable.

Additional Preferences

• Previous medical or surgical scheduling experience required; OB/GYN or urogynecology experience strongly preferred.
• Strong background in insurance plans, payer requirements and obtaining prior authorizations.
