Job summary

Northwest Eye Surgeons is seeking a Patient Concierge in Seattle to provide outstanding patient registration and front-desk support. You will greet patients, collect demographics and payments, schedule appointments, and coordinate with providers and interpreters as needed.

Ideal candidates have a high school diploma and at least one year in an office or healthcare setting, with strong communication, organization, and multitasking abilities.

• Excellent verbal and written communication and interpersonal skills.
• Willing to help in all areas and work in a team.
• Strong organization, attention to detail, and problem-solving.
• Ability to manage multiple tasks simultaneously.
• Experience with patient interaction or healthcare setting preferred.

Responsibilities

• Provide a great patient experience during registration, greet patients, collect/update demographic and financial info, and collect co-pays.
• Deliver excellent customer service in all interactions; assist with documents and patient paperwork; manage dynamic encounters.
• Schedule provider appointments; ensure pre-certifications and authorizations; obtain interpreters when necessary.
• Process payments, issue receipts, and balance cash records.
• Maintain waiting room appearance and office equipment; manage supplies.
• Prepare and maintain electronic medical charts and registration materials.
• Ensure HIPAA compliance for medical records handling.
• Track and order supplies; stay flexible to perform other duties.

Requirements

• Provide a great patient experience by offering personalized service during the patient registration process, including greeting the patient, collecting and/or updating demographic and financial information, and collecting co-pays.
• Provide excellent customer service in all interactions with patients and visitors, assist in the completion of various documents and patient paperwork, and effectively manage dynamic or escalated patient encounters.
• Schedule all provider appointments. Ensure pre-certifications/ prior authorizations are received, and interpreters are obtained when necessary.
• Collect and make changes for payments received, complete a receipt for the patient, and follow the appropriate paperwork to complete the transaction.
• Maintain the cash records by comparing daily cash amounts against daily transactions to ensure that the records balance.
• Maintain the general appearance of the waiting room or reception area; straighten magazines, chairs, and the coffee service area.
• Maintain working knowledge of all office equipment, fax, copiers, phones, postage meter, etc. Maintain inventory, ordering, and stocking supplies.
• Prepares and maintains electronic medical charts/records, forms, registration materials, and other related documents according to the company policies and procedures.
• Assures compliance with all HIPAA regulations concerning the use, retrieval, storage, and sharing of medical records.
• Track and order supplies as required.
• Maintain flexibility and perform other duties as required.
