Exceptional Patient Service: 30%

  • Professionally greet and assist patients, families, and visitors in person, via email and/or by phone.

  • Deliver excellent customer service by addressing inquiries and resolving issues promptly.

  • Support patients in accessing and using the Patient Portal, encouraging self-service capabilities.

Efficient Administrative Support: 20 %

  • Check patients in and confirm or update demographic and insurance information.

  • Conduct insurance eligibility checks, collect co-payments, and ensure all required forms are signed before appointments.

  • Process patient requests such as referrals, forms, and prescription refills, escalating to clinical staff when necessary.

Accurate Scheduling and Records Management: 10%

  • Schedule appointments, follow-ups, specialist visits, and diagnostic testing in alignment with office protocols using the EMR system.

  • Monitor and address late arrivals or no-shows in accordance with policy, ensuring timely communication with patients and clinical staff.

  • Maintain accurate and up-to-date patient medical records, tracking quality measures and relevant alerts.

Compliance and Confidentiality: 20%

  • Uphold HIPAA regulations and ensure the privacy and security of patient information.

  • Adhere to all policies, procedures, and guidelines established by the Wellness Center.

Team Collaboration and Contribution: 20%

  • Work effectively with colleagues to create a supportive, patient-focused environment.

  • Adapt to new processes and technologies to enhance patient care and administrative efficiency.

  • Contribute to special projects or other duties as assigned by managers or leads.

Knowledge/Skills/Abilities

Minimum Requirements:

  • High school diploma or equivalent required.

  • At least 1 year of experience in customer service or a related administrative position; healthcare experience preferred.
