With 100+ locations and over 400 OB/GYNs and specialists across the country, Women’s Care offers comprehensive patient care in obstetrics, gynecology, gynecologic oncology, urogynecology, gynecologic pathology, breast surgery, genetic counseling, maternal fetal medicine, laboratory services, and fertility.

The Patient Access Supervisor is responsible for providing supervisory support to the patient access team and administrative staff within an assigned unit, following established standards and practices.

  1. Manage the daily operations of patient and office flow in collaboration with the Clinical Supervisor.
  2. Maintain provider templates to increase utilization in line with organizational goals.
  3. Review online scheduling platforms weekly and communicate issues to the Practice Manager.
  4. Oversee proper use of provider schedules, including visit types and appointment durations.
  5. Enforce policies related to patient access workflows as instructed by the Practice Manager.
  6. Handle non-clinical patient complaints to improve satisfaction and engagement.
  7. Supervise and train administrative staff across all locations, including billing, verification, front office, scheduling, call center, and medical records.
  8. Oversee front desk workflows to reduce errors, improve financial performance, and increase patient satisfaction.
  9. Manage call center responsibilities, including call times, routing, and staffing.
  10. Create and analyze reports on schedules, appointment types, charges, and payments.
  11. Order office supplies and equipment, reviewing costs with the Practice Manager.
  12. Uphold Women’s Care mission and core values.
  13. Ensure compliance with HIPAA regulations.
  14. Perform other duties as assigned.

Qualifications:

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • At least two years of experience in a medical practice, preferably in OB/GYN.
  • Experience with EMR systems, with knowledge of eCW a plus.
  • Knowledge of medical terminology, billing, and insurance reimbursement.
  • Leadership skills and experience in team management and conflict resolution.
  • Critical thinking and problem-solving skills.
  • Attention to detail and accuracy.
  • Professional and positive demeanor.
  • Dependable, reliable, and punctual.
  • Ability to work cooperatively and supportively with others, demonstrating respect and trust.
