Job summary

CommuniCare+OLE in North Napa, CA is seeking an Access Representative I to greet patients, manage front desk interactions, and support a positive patient experience. You'll handle data entry, check in, scheduling, and screening for insurance eligibility using established scripts and procedures.

This entry-level, nonexempt role expects strong customer service, basic computer skills including MS Office and EHR, and CPR certification.

Qualifications

• High School Diploma or GED required.
• Entry level position; one year of experience in a healthcare setting preferred.
• Bilingual in English/Spanish/Dari/Punjabi/Vietnamese strongly preferred.
• Must certify and remain current in CPR certification.
• Strong analytical and problem-solving skills and attention to detail.
• Data entry skills, Microsoft Office, and Electronic Health Record system preferred.

Responsibilities

• Greets patients in person or by phone and delivers courteous, compassionate service.
• Inputs patient data accurately into the EMR prior to saving.
• Screens patients for insurance eligibility and refers self-pay patients to the Eligibility Specialist.
• Answers calls promptly and documents encounters using the designated form.
• Schedules appointments and provides information on programs and services; pre-registers patients.
• Collects payments and balances cash, checks, and card transactions at shift end.
• Maintains patient privacy and follows HIPAA guidelines; safeguards PHI.
• Assists with check-in processes and basic patient flow.
• Supports training of new staff and adherence to policies.
• Captures demographic and insurance information into EHR, scans forms as applicable.
• Verifies insurance eligibility and updates payor codes as needed.
• Ensures consent and required forms are completed and signed.
• Verifies and collects co-pays and balances; reconciles daily cash.
• Follow-up on phone encounters, recalls, and appointment requests.
