Responsibilities

• Enter admission information during initial and ongoing client contact.
• Complete follow-up tasks including scheduling referrals.
• Keep up with trends related to essential job competencies.
• Refer crisis situations to a clinical therapist, manager, Urgent Care, or police when needed.
• Attend team meetings and work from assigned locations.
• Maintain current contact notes and assist in training co-workers and students.

Harbor is seeking a Patient Access Specialist to join the Toledo team! This position is responsible for assisting, engaging, and screening potential and on‑going clients to determine appropriate services while executing exceptional customer service skills.

Job Details

Position is part-time, 30 hours per week.

Qualifications

• Associate’s degree in business or a closely related field preferred (may substitute previous experience in medical/mental health administrative support services).
• Previous data entry experience required.
• Excellent customer service skills; ability to communicate clearly and effectively with a variety of people and be a team player.
• Flexibility, ability to multi‑task 3 or more tasks simultaneously, and excellent organizational skills required.
• Ability to adhere to strict client confidentiality standards and policies.
• Proficiency and accuracy in computer use, including Microsoft Outlook and Word.

Responsibilities

• Deliver excellent customer service according to Harbor's customer service standards, taking appropriate action to understand and resolve client needs on first call when possible.
• Answer all calls in a professional, engaging, warm, courteous, and efficient manner; transfer calls or take accurate written messages as needed.
• Engage all callers and follow call through to completion, scheduling into electronic health record new appointments, hospital discharge appointments, follow‑up appointments, cancellations, referrals, and rescheduling.
• Obtain and enter admission information into the computer system during initial and ongoing client contact according to Harbor policy.
• Receive and complete all necessary follow‑up, including scheduling all referrals assigned.
• Keep current with trends and developments related to essential job competencies and demonstrate continued growth.
• Recognize and respond appropriately to crisis situations by referring to a clinical therapist, a manager, Urgent Care, or police emergency services.
• Attend team meetings.
• Work from any assigned location.
• Keep current with communication via contact notes.
• Assist in the training of co‑workers, students, and volunteers in admission procedures.
• Verify Medicaid insurances and direct clients who may need additional funding through the Board of Mental Health.
