Job summary

Harbor is seeking a Client Registration/Intake Specialist to join the Toledo team. This part-time role (20 hours per week) focuses on a welcoming and thorough client registration process, coordinating insurance and eligibility details.

Strong attention to detail and teamwork are essential to ensure accurate records and smooth intake flow. Ideal candidates will bring familiarity with health billing procedures, customer service experience in behavioral health, and proficiency with Microsoft Office

Qualifications

  • High school diploma or equivalent required; two years of related office experience preferred.
  • Knowledge of health/behavioral health billing procedures and payer eligibilities preferred.
  • Prior customer service experience in a behavioral health setting is strongly preferred.
  • Strong communication skills and ability to work with diverse individuals.
  • Proficient in Microsoft Office 365, Excel, and electronic health record systems.

Responsibilities

  • Review and update client accounts to ensure accurate demographic, insurance, and fee information.
  • Collaborate with other departments for thorough client registrations.
  • Respond to inquiries from clients, payers, and departments; gather needed information.
  • Prepare and maintain Client Records with intake/registration data.
  • Coordinate client applications and verifications for public assistance funding sources.
  • Provide quality, timely support to internal and external customers.
  • Promote and educate clients on the Patient Portal benefits.
  • Monitor service scheduling based on insurance coverage and eligibility.
  • Verify insurance for new clients and updated cards before appointments.
  • Keep client coverage information current and accurate.

Harbor is seeking a Client Registration/Intake Specialist to join the Toledo team! This position is responsible for a welcoming and thorough client registration process.

Position is part-time, 20 hours per week.

Education/Experience/Other Requirements
  • High school diploma or equivalent required with two years of closely related office experience strongly preferred.
  • Demonstrated knowledge and understanding of health/behavioral health billing procedures and eligibilities for third-party providers preferred.
  • Prior experience strongly preferred in customer service and behavioral health setting.
  • Must have strong attention to detail and be able to communicate effectively with various individuals.
  • Competent computer/PC skills using Microsoft Office 365, Excel, and electronic health record systems.
  • Must be able to establish daily work priorities and work independently and efficiently to meet deadlines
  • Must be honest, dependable, self-disciplined, organized and be able to work well as a team member.
Essential Job Competencies/Primary Duties
  • Reviews and updates client accounts timely to ensure accurate demographic and account information, including insurance information, and fee agreements.
  • Proactively and collaboratively works with other departments to ensure a thorough and accurate client registration process.
  • Receives incoming questions from clients, payers, and/or other departments regarding client accounts; initiates data submission for any additional information needed, and interprets information back to the client, payer and/or clinician.
  • Reviews, monitors, updates, and prepares Client Record to ensure required Intake/Registration forms and data are completed and updated, as necessary.
  • Coordinates client’s application and subsequent verification process for public assistance funding sources. Updates client records accordingly (internal and external systems) and monitors assigned client records to ensure adequate coverage for services.
  • Provides quality and timely support to both internal and external customers and strives for customer satisfaction
  • Promotes client usage for Patient Portal and educates on the benefits it can offer.
  • Monitors assigned clients to ensure services are scheduled appropriately based on insurance coverage.
  • Verifies insurance for any new clients or new card being scanned before the time of their appointment.
  • Monitors client coverages for any missing coverages or termed coverages and updates appropriately.
  • Keeps current with trends and developments related to essential job competencies and demonstrates continued growth.
