Job summary

Westfields Hospital & Clinic, part of HealthPartners, is seeking staff for clinic scheduling, registration and check-in in New Richmond, WI. The role requires accurate patient scheduling, pre-registration, and handling co-pays, with the ER registration shifts scheduled on weekends.

12 hours weekly (0.3 FTE), casual schedule with Friday–Sunday evening coverage, opportunities to cross-train in additional areas.

Qualifications

• High School graduate or equivalent.
• 2-year degree or related studies preferred; or equivalent experience.
• Minimum one year experience in a hospital or medical clinic setting or equivalent.
• Experience in a customer service setting.
• Experience with Microsoft Word, Excel, Outlook, etc.

Responsibilities

• Schedule patients with accuracy and verify details (arrival/appointment times and instructions).
• Pre-register patients by verifying demographics and insurance; create HAR.
• Register and check in patients; provide forms and route documents as needed.
• Collect and post patient co-pays/deductibles/balances.
• Assist patients with follow-up appointments at checkout.

Job description

Clinic Scheduling, Registration and Check In

• Accurately and appropriately schedules patients.
  • Confirm arrival time, appointment time, and any other applicable instructions.
  • Educate patient of any preparation and/or instructions needed prior to procedure.
  • Pre-register patients by verifying demographics and insurance coverage. Create the Hospital Account Record (HAR).
  • Look for existing orders and link them to appointment.
  • Monitor and schedule the Referral Workque’s as assigned.
• Accurately and appropriately register and check in patients for their appointments.
  • Check in patients for their appointments, complete all needed information and direct them to the appropriate location.
  • Provide appropriate forms as designated by clinical staff and/or standard practice.
  • Receive and enter appropriately all patient forms dropped off for completion. Determine if the patient needs to be seen to complete the form, and/or have patient complete their portion of the forms. Route forms according to standard practice.
• Collects and posts patient co-pays/deductibles/balances consistently and accurately.
• Assists patients with any follow up appointments at check out.

Work Schedule:

• 12 hrs weekly, .3fte, Casual
• Emergency Room Registration Shifts, every other Friday, Saturday and Sunday, 2:30pm-11:00pm
• Opportunities to cross train in additional areas and pick up shifts

Required Qualifications:

• High School graduate or equivalent experience.

Preferred Qualifications:

• 2-year degree in related studies; and/or equivalent experience.
• Minimum one year experience in a hospital or medical clinic setting or equivalent.
• Experience in a customer service setting.
• Experience with Microsoft products, Word, Excel, Outlook, etc.
