Job summary

Westfields Hospital & Clinic is seeking staff for clinic scheduling, registration and check-in. The role involves confirming appointments, pre-registering patients, and guiding them through forms and check-in processes.

Responsibilities include collecting co-pays and balances, assisting with follow-up appointments, and potential cross-training in additional areas. A High School diploma is required, with a preferred 2-year degree and experience in healthcare or customer service.

Qualifications

• High School graduate or equivalent experience.
• 2-year degree in related studies preferred and/or equivalent experience.
• Minimum one year experience in hospital/medical clinic setting or equivalent.
• Experience in a customer service setting.
• Experience with Microsoft products (Word, Excel, Outlook).

• Schedule patients accurately; confirm arrival and appointment times and instructions.
• Pre-register patients by verifying demographics and insurance; create HAR.
• Register and check in patients for appointments; provide forms and route as needed.
• Collect and post patient co-pays, deductibles and balances.
• Assist patients with follow-up appointments at checkout.
• Cross-train in additional areas and shifts.

Job description

Clinic Scheduling, Registration and Check In

• Accurately and appropriately schedules patients.
  • Confirm arrival time, appointment time, and any other applicable instructions.
  • Educate patient of any preparation and/or instructions needed prior to procedure.
  • Pre-register patients by verifying demographics and insurance coverage. Create the Hospital Account Record (HAR).
  • Look for existing orders and link them to appointment.
  • Monitor and schedule the Referral Workque’s as assigned.
• Accurately and appropriately register and check in patients for their appointments.
  • Check in patients for their appointments, complete all needed information and direct them to the appropriate location.
  • Provide appropriate forms as designated by clinical staff and/or standard practice.
  • Receive and enter appropriately all patient forms dropped off for completion. Determine if the patient needs to be seen to complete the form, and/or have patient complete their portion of the forms. Route forms according to standard practice.
• Collects and posts patient co-pays/deductibles/balances consistently and accurately.
• Assists patients with any follow up appointments at check out

Work Schedule

• 12 hrs weekly, .3fte, Casual
• Emergency Room Registration Shifts, every other Friday, Saturday and Sunday, 2:30pm-11:00pm
• Opportunities to cross train in additional areas and pick up shifts

Required Qualifications

• High School graduate or equivalent experience.
