Job summary

Whitman-Walker Health is seeking a Client Services Representative in Washington, DC to support the centralized patient-facing team across medical, dental, and behavioral health services. You will schedule patients, verify insurance, update demographics, and facilitate billing and patient communications.

The role emphasizes accurate data entry in electronic medical records, compassionate interaction with diverse populations, and adherence to privacy and No-Show policies.

Qualifications

• Associate degree or 2 years of equivalent work experience required.
• 1-3 years of experience in a health care or call center preferred.
• Fluency in medical terminology preferred.
• 1 year of experience working with people living with HIV or issues related to HIV care preferred.

Responsibilities

• Register patients and update electronic medical records.
• Schedule and reschedule appointments and send reminders.
• Provide patients with required documents before appointments.
• Verify insurance and collect co-pays; inform patients of balance and payment options.
• Explain No-Show policy and offer alternatives like rescheduling.
• Scan insurance cards and IDs into electronic medical records (eCW).
• Obtain and scan forms (registration, consents) into EMR.
• Label scanned documents and provide patient-requested documents.
• Check in/out patients and handle appointment data and reminders.
• Perform claim data for scheduled appointments and for 3 days prior or same-day if needed.
• Handle opening/closing duties daily.
• Verify active insurance using the IE button in EMR; create telephone encounters for verification.
• Create, monitor, and respond to electronic communications and telephone encounters.
• Provide information about Whitman-Walker services and community resources.
• Arrange ASL and language interpreters for scheduled appointments.
• Assist patients with portal access and activation.
