Job summary

UMass Memorial Health is seeking a Registration Services professional to accurately collect patient demographics and insurance information, verify coverage, and schedule appointments in a busy hospital setting. You will help ensure pre-authorizations are obtained and patient balances collected, supporting a smooth Revenue Cycle process.

The role requires strong data-entry, customer service skills, and the ability to work well within a team.

Qualifications

  • High school diploma or GED required.
  • Associate degree or healthcare certificate preferred.
  • Proficient data-entry skills with attention to detail.
  • Must have computer skills including Windows and navigation.
  • Customer service skills both verbal and written with diverse internal/external customers.
  • Ability to work in a high-volume, team-oriented environment.
  • English speaking, reading and writing skills.
  • 1–2 years of data entry and/or customer service experience.
  • Experience in hospital admissions, insurance, billing, scheduling or telephone customer service.
  • Previous insurance verification experience.
  • Bilingual speaking, reading and writing skills.
  • Demonstrated knowledge of medical terminology.

Responsibilities

  • Accurately obtains and enters demographic, insurance and related patient information into the registration/scheduling system.
  • Ensures signatures on HIPAA, consent to treatment, and related forms.
  • Verifies patient insurance coverage and secures pre-authorizations and referrals as required.
  • Schedules radiology, lab and basic ancillary service appointments.
  • Collects patient liabilities prior to or at the time of service.
  • Handles admissions, transfers, discharges and recalls as needed.
  • Maintains accurate records and supports general administrative duties.

Job description

Exemption Status: Non-Exempt Hiring Range: $15.00 - $27.00 (based on a full time schedule of 40 hours per week).

Please note that the final offer will vary based on scheduled hours. Compensation for part-time or reduced schedules will be prorated based on scheduled weekly hours, experience, skills, qualifications, and internal equity considerations.

Under the general direction of the Registration Services Team Lead, Lead Registrar, Supervisor, Manager, and/or Director, performs a variety of complex duties for the registration of patients.

Major Responsibilities
  • 1. Accurately obtains and enters demographic, insurance and other related patient information into the computer-based patient registration/scheduling system.
  • 2. Ensures all patient and/or witness signatures are collected on appropriate paperwork such as HIPAA, Consent to Treat, etc.
  • 3. Obtains and verifies patient insurance coverage and follows guidelines established by insurers to ensure that pre-authorization, pre-certification, and physician referrals for treatment are obtained prior to patient visits. Follows up to correct discrepancies as required.
  • 4. Obtains and verifies workman’s compensation and automobile coverage when required
  • 5. Schedules and/or arrives Radiology, Lab and basic ancillary service appointments.
  • 6. Arrives and completes Emergency Department and Labor & Delivery demographic and insurance collection
  • 7. Coordinates the provision of multiple services to patients.
  • 8. Collects patient liabilities including deductibles, copays, coinsurances, self-pay payments, cosmetic procedure payments, and patient balances as appropriate, prior to or on the date of service.
  • 9. Performs Surgical Day admissions
  • 10. Performs bed control, transfers, discharges and admissions tasks
  • 11. Provides patient with standard information regarding their personal preparation for scheduled procedures and services.
  • 12. Assesses patients’ financial needs and directs accordingly to financial counseling and refers to appropriate person or area.
  • 13. Provides a variety of related clerical duties, such as retrieving medical and other records, faxing, collating, typing, transcribing, taking and relaying messages, transcribe paper orders when applicable, mailing packets, etc.
  • 14. Maintains accurate and timely records, logs, files and related information as required.
  • 15. Completes online death certificate registry.
  • 16. Receive and secure patient valuables.
  • 17. Monitors and maintains Patient Access and Revenue Cycle Work queues to ensure accurate and timely billing.

Position Qualifications

License/Certification/Education:

  • Required: 1. High school graduate or GED required.
  • Preferred: 1. Associate Degree or certificate in Healthcare related field.

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.

Physical Demands and Environmental Conditions

Work is considered moderate. Position requires work indoors hospital outpatient and Emergency Department environment.
