Job summary

ACTS Fleet Maintenance in Knoxville, TN is seeking a Parts & Procurement Specialist to source and manage parts for fleet maintenance. You will create purchase orders, track deliveries, and maintain accurate inventory records to ensure timely service.

The ideal candidate has at least 3 years in parts procurement or related fields, strong Excel skills, and the ability to build relationships with vendors. This role offers a day shift, M-F, with health and retirement benefits.

Qualifications

• 3+ years experience in parts procurement, purchasing, inventory management, or related fields.

Responsibilities

• Source and procure automotive, diesel, and fleet maintenance parts, materials, and supplies.
• Develop and maintain relationships with vendors, suppliers, and manufacturers.
• Negotiate pricing, delivery schedules, and purchasing agreements to maximize value.
• Create and manage purchase orders, ensuring timely and accurate processing.
• Track orders from placement through delivery and resolve supply chain issues.
• Monitor inventory levels and implement inventory control procedures.
• Coordinate with technicians and service managers to identify parts requirements and prioritize urgent orders.
• Evaluate supplier performance based on pricing, quality, availability, and service.
• Maintain accurate purchasing, receiving, and inventory records.
• Research alternative suppliers and parts solutions to reduce costs and improve availability.
• Ensure compliance with company purchasing policies and quality standards.
• Assist in forecasting parts usage and supporting budgeting efforts.
• Support continuous improvement initiatives related to inventory management and procurement processes.

Position Summary

The Parts & Procurement Specialist is responsible for sourcing, purchasing, tracking, and managing parts and materials necessary to support fleet maintenance operations. This role serves as a critical link between technicians, vendors, and management by ensuring the timely acquisition of high-quality parts at competitive prices while maintaining inventory accuracy and operational efficiency.

The ideal candidate will possess strong organizational, analytical, and communication skills, have experience in automotive, diesel, or fleet maintenance parts procurement, and demonstrate the ability to build and maintain productive supplier relationships.

Key Responsibilities

• Source and procure automotive, diesel, and fleet maintenance parts, materials, and supplies.
• Develop and maintain relationships with vendors, suppliers, and manufacturers.

Required Qualifications

• Minimum of 3 years of experience in parts procurement, purchasing, inventory management, supply chain, fleet maintenance, automotive, diesel, or related industries.
• Strong understanding of inventory control and purchasing principles.
• Proficiency with Microsoft Office Suite, particularly Excel.
• Excellent organizational skills and attention to detail.
• Strong verbal and written communication abilities.
• Ability to work independently and manage multiple priorities in a fast-paced environment.
• Valid driver's license and reliable transportation.

Preferred Qualifications

• Associate's or Bachelor's degree in Business, Supply Chain Management, Logistics, Automotive Technology, or a related field.
• Experience in fleet maintenance, trucking, heavy equipment, or diesel service environments.
• Experience with procurement software, ERP systems, or inventory management systems.
• Knowledge of vendor contract management and strategic sourcing practices.
• Certification in Supply Chain, Purchasing, or Inventory Management is a plus.

Physical Requirements

• Ability to frequently walk, stand, bend, and lift up to 50 pounds.
• Capability to inspect and accurately identify automotive and fleet maintenance parts.
