Jordan Sitter Associates is seeking a Mining Parts Coordinator to manage day-to-day parts activities, including quoting, sourcing, expediting, and shipping to customers. Responsibilities

• Serve as the primary operational contact for customer parts requirements, inquiries, RFQs, POs, and urgent machine-down requests.
• Provide timely information on parts availability, pricing, lead times, shipment status, and backorders, communicating through the order-to-delivery process.
• Create and manage quotations, sales orders, transfer orders, and ERP transactions, ensuring part numbers, quantities, pricing, and terms are correct.
• Coordinate fulfillment through warehouses or supply locations and monitor open orders and backorders.
• Coordinate with distribution centers, warehouses, suppliers, and freight providers to optimize parts delivery and expedite shipments as needed.
• Track shipments, communicate exceptions, and escalate constraints that affect production.
• Support development of parts lists, stocking packages, maintenance kits, and critical spare recommendations.
• Manage component and core coordination for repair, rebuild, and remanufacturing programs.
• Ensure customer-specific pricing and discounts are applied and assist with invoice/order discrepancy resolution.
• Maintain accurate ERP data for customers, equipment, orders, and transactions.

SUMMARY
The Mining Parts Coordinator is responsible for the day-to-day coordination and execution of parts activities supporting a direct-to-customer mining parts business, serving as a critical link between customers, supply operations, regional warehouses, logistics providers, technical teams, and internal commercial functions. The role ensures parts requirements are identified, quoted, ordered, sourced, expedited, shipped, and communicated effectively to support customer production and equipment availability, with a strong operational focus on order execution, parts availability, logistics coordination, customer communication, ERP transaction accuracy, and supply-chain visibility.

RESPONSIBILITIES

• Serve as the primary operational contact for customer parts requirements, processing inquiries, RFQs, purchase orders, and urgent machine-down requests.
• Provide timely information on parts availability, pricing, lead times, shipment status, and backorders, maintaining proactive communication through the complete order-to-delivery process.
• Create and manage parts quotations, sales orders, transfer orders, and related ERP transactions, reviewing orders for accuracy in part numbers, quantities, pricing, and delivery terms.
• Coordinate fulfillment through the appropriate warehouse or supply location, monitor open orders and backorders, and manage direct-ship and virtual inventory transactions.
• Coordinate with distribution centers, warehouses, suppliers, and freight providers to optimize parts delivery, supporting expedited freight and machine-down logistics as needed.
• Track shipments, proactively communicate exceptions, and escalte supply constraints that could impact customer production.
• Support development of recommended parts lists, commissioning parts, initial stocking packages, maintenance kits, and critical spare recommendations for new and existing fleets.
• Support component and core coordination, including exchanges, returns, and core movements for repair, rebuild, and remanufacturing programs.
• Ensure customer-specific pricing, discounts, and commercial agreements are correctly applied, and support invoice and order discrepancy resolution.
• Maintain accurate customer, equipment, order, and transaction information within ERP and supporting systems, and support parts sales forecasts, backlog reporting, and pipeline analysis.
• Help standardize parts processes and workflows as the business expands, recommending improvements to order execution and customer support.
• Track performance against key measures including order response time, quote turnaround, parts availability and fill rate, on-time delivery, backorder management, ERP transaction accuracy, and customer satisfaction.

REQUIREMENTS

• 3 to 5 years of experience in heavy equipment parts, mining equipment, industrial distribution, supply chain, or a related field.
• Strong understanding of parts ordering and fulfillment processes, with experience working within ERP or parts management systems.
• Strong organizational skills with the ability to manage multiple priorities simultaneously in a customer-facing environment.
• Strong written and verbal communication skills, with a high level of attention to detail and transactional accuracy.
• Ability to work effectively across multiple departments, locations, and time zones.
• Previous experience supporting large mining equipment preferred, including knowledge of mining excavators and haul trucks.
• Experience with OEM or heavy-equipment dealer parts operations, remanufactured components, exchange programs, and core management is a plus.
• Understanding of mining maintenance practices, planned maintenance, shutdowns, and component replacement cycles is a plus.
• Familiarity with mining operations and logistics, and experience supporting direct-to-customer or key-account business models, is a plus.
