Position Summary:

The Parts Coordinator plays a key role in supporting the service and warehouse operations by managing parts logistics, inventory control, and job preparation processes. Responsibilities include ordering required parts, issuing PO’s and maintaining accurate inventory records. The role also involves assisting the service team with parts research, shipping and receiving duties, warehouse organization, and occasional forklift operation. The Parts Coordinator will coordinate deliveries and pickups, track order statuses, expedite delayed shipments, and communicate updates to the service team. This position ensures that parts are efficiently processed and ready for repair scheduling, contributing to the overall success of service operations.

Key Responsibilities:

• Parts Procurement: Timely and accurate processing of parts order requests. Source and purchase parts, materials, and supplies required for service operations.
• Purchase Orders: Process PO’s urgently with accuracy
• Status Ownership: PTR- monitor and process order requests, PBO- follow up on backorders, working with supervisors as needed if long lead times are experienced, UEI- process requests for equipment information updates
• Cross Department Collaboration: Work closely with other departments to align operations with overall business goals. Collaborating closely with Service Writers to identify and order quoted repair parts, ensuring seamless service delivery.
• Compliance: Ensure adherence to industry regulations, safety standards, and company policies.

Inventory Support: support parts team during inventory process, ensure during day-to-day operations steps are taken to maintain accurate inventory.

• Track the status of all parts orders; expedite delayed items or source from alternative suppliers.
• Inform the Service Writer and Sales Representative of any order delays or fulfillment issues.
• Coordinate with the warehouse team and notify the dispatcher once parts are received to schedule repair work.
