Job summary

City of Waukesha is seeking a Special Events Assistant to support community events, supervise staff and volunteers, and ensure safe, high‑quality activities. The role reports to the Recreation Supervisor - Special Events and collaborates with vendors for event readiness.

Requires 18+, CPR/First Aid/AED certification (or obtainable within one year) and knowledge of event operations. This is a yearlong, part-time seasonal position with opportunities for hands-on event management.

Qualifications

  • Must be 18 years or older.
  • CPR, First Aid, AED certification required or obtainable within first year.
  • Prefer knowledge of concession stand operations, cash handling and safe food handling procedures.
  • Ability to assign duties and supervise personnel, volunteers and contractual entertainment.
  • College or university degree in business, marketing, recreation or related area preferred.

Responsibilities

  • Assist in hiring staff/volunteers for events.
  • Coordinate and lead implementation of community activities with the supervisor.
  • Work with vendors for prices, equipment and supplies.
  • Ensure event readiness including site and facility inspections.
  • Oversee staff/volunteers to ensure proper supervision and safety.
  • Handle event setup and takedown; manage on-site public relations and rules enforcement.
  • Assist in financial procedures and standard adherence for operations.
  • Verify staff/volunteer hours and submit weekly reports.
  • Attend staff trainings and prepare event programming and scheduling.
