Job summary

The University of Georgia Cooperative Extension is seeking a part-time Administrative Assistant for Quitman County. This 16-hour-per-week position will be the friendly face of the office, greeting clients, distributing resources, and handling clerical and QuickBooks duties to support county services.

Responsibilities include maintaining fiscal records, assisting clients with Extension resources, coordinating workshops, and promoting programs in the local area.

Qualifications

  • Typing, filing, and basic computer skills (Windows, MS Office).
  • Experience with QuickBooks or accounting tasks.

  • Register clientele for regional/state workshops and training, including certification programs.
  • Publicize programs and workshops offered in the county and nearby areas.
  • Maintain the County website and assist with office coordination and mailing lists.
  • Coordinate conference calls/video conferences with county/state staff as needed.
  • Maintain office filing systems and inventory of publications and supplies.
  • Support County Extension Coordinator with personnel procedures.

Part‑Time Quitman County Extension Administrative Assistant
Position Summary

This County Extension position (part‑time – 16 hours/week) in Quitman County will be the primary contact with the public, greet clients, distribute resources, and handle clerical and QuickBooks financial management duties. This role is crucial to the management of the office and success in serving the citizens of the county. This role will be the “face” of UGA Extension to the residents in the county.

Knowledge, Skills, Abilities and/or Competencies
  • Proficient in typing, filing, and computer skills such as Windows, Microsoft Office, and QuickBooks.

  • Driving as needed to perform job duties.
Duties and Responsibilities
  • Maintain appropriate records for fiscal reporting. May prepare various accounting forms and exercise basic accounting responsibility in reconciling local Extension budgets. Keep financial records current within the existing month.
  • Assist clientele with access to Extension resources and services, including printed publications, online content, other educational materials, and sample submission for all diagnostic services (e.g., soil and water tests, feed and animal waste analysis, radon testing).
  • Assist clientele in registering for regional or statewide workshops/conferences and training or testing associated with certification programs offered by Extension (e.g., pesticide applicators, certified landscape professionals, certified childcare providers, ServeSafe).
  • Publicize programs and workshops offered in local county or nearby counties to clientele.
  • Maintain the County website.
  • Facilitate conference calls/video conferences to connect clientele with County Agents from other counties or with State Specialists (this is due to no Ag Agent being based out of the county office).
  • Maintain the office filing system in a manner that corresponds with the standard for all Extension offices and coordinate office tasks with other county staff as necessary. Maintain and update mailing list. Maintain 4‑H volunteer record with assistance of Co Agent.
  • Maintain office inventory of publications, office supplies, and materials as needed.
  • Assist County Extension Coordinator with personnel procedures.

  • Regularly participate in staff conferences and District Conferences.

Minimum Qualifications

Requires are least a high school diploma or equivalent. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
